Your Responsibilities

* Provide a mix of reception, coordination, and administrative support.
* High-quality administrative and secretarial support to the VP Manufacturing and on-site teams.
* Act as a professional first point of contact for visitors and team members, supporting reception coverage as required.
* Manage email correspondence, key communications, and stakeholder enquiries.
* Coordinate calendars, meetings, and site events.
* Support onboarding activities and deliver Kronos training to new starters.
* Maintain communication boards, signage, and labelling across the shop floor in line with CMS 5S standards.
* Manage document control processes including filing, archiving, and record keeping.
* Update and verify payroll and timekeeping data (e.g., Kronos).
* Act as a point of contact for payroll queries, ensuring timely follow-up with relevant teams.
* Raise and track helpdesk requests to completion.
* Support team coordination and coverage across the global manufacturing network.

What Success Looks Like

* Deliver fortnightly direct payroll accurately and on time, including raising pay corrections where required.
* Maintain accurate payroll records and ensure documentation is archived in line with requirements (e.g., DTR & PDM).
* Respond to payroll enquiries promptly and support team members to navigate systems such as Workday.
* Manage Kronos timekeeping processes effectively, including exception schedule changes (ESC management).
* Support onboarding at scale in line with hiring plans, including system setup and training.
* Provide reliable, proactive administrative support across Manufacturing teams and senior stakeholders.
* Contribute to quality and compliance activities (e.g., GDP reviews on travellers).
* Coordinate and support key meetings, including minute taking, content preparation, and follow-up.
* Manage purchase orders, goods receipting, and corporate expense processes.
* Maintain accurate documentation and ensure controlled documents are up to date.
* Support site operations, including communication boards, dashboards, and visiting stakeholder coordination.
* Demonstrate a strong safety mindset by identifying and reporting hazards and contributing to a safe work environment.

About You

* Proactive and reliable, enjoys working in a dynamic, people-focused environment.
* Experience in administration, coordination, or a similar support role.
* Experience in reception or customer‐facing environments, with a professional and approachable manner.
* Strong communication and interpersonal skills, able to build relationships across all levels.
* Excellent organisational skills and the ability to manage competing priorities effectively.
* High attention to detail, particularly when working with data, documentation, and systems.
* Flexible, resourceful, and team‐oriented mindset.
* Highly regarded: Experience with payroll or timekeeping systems (e.g., Kronos).
* Exposure to ERP systems such as Oracle or SAP.
* Experience coordinating events or team activities.
* Strong MS Office and general computer literacy skills.
