The Role:
We have partnered with a leading Energy Supplier to recruit a Part Time Office and Facilities Administrator for an initial 5-month contract with the possibility of extension.
The Responsibilities:
Office Administration
* Manage daily admin tasks including correspondence, emails, phone calls and visitors
* Greet visitors and provide a warm and professional front-desk experience
* Receive and despatch parcels and mail via courier and collection from PO Box on a daily basis
* Maintain office supplies, reorder supplies as required and ensure stock levels are maintained in accordance with Ampol guidelines
* Assist in preparing reports, presentations and documents as required
* Organise and maintain office records and documents
* Co-ordinate meeting room bookings
* Assist members of the team with other adhoc administration requirements
* Undertake Fire Warden and First Aid training supplied by client
* Raise shopping carts and post invoices in SAP (training provided)
Facilities Administration
* Ensure the office space is maintained in an organised and clean manner
* Liaise with external vendors and contractors for repairs and maintenance as required by the Clients Building Manager
* Ensure officed equipment is maintained in good working order
* Undertake office induction for new staff members inclusive of issuing staff passes
* Assist with travel and accommodation bookings for staff using the relevant online tool UConnect and the Client’s approved travel supplier
Experience:
* Facility Coordination experience desirable
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
* Strong organisational skills with the ability to multitask and prioritise effectively
* Excellent communication and interpersonal skills
* Attention to detail and a proactive approach to problem-solving
* Ability to work independently and collaboratively as part of a team
* Flexibility and adaptability to changing needs and priorities
Benefits:
* 5 Month Contract (possible extension)
* 6hrs / day 5 days / week.
* $38 / hour + super
