The Executive Coordination Division (ECD) within the Executive Group Supports the Minister(s) and Senior Executives in effectively delivering on Government priorities, through a department-wide coordinated approach to performance oversight, risk management, parliamentary and cabinet support, and media and communications. The Division is seeking staff to join both the Performance, Governance and Inquiries Branch and the Ministerial and Parliamentary Branch. The Performance, Governance and Inquiries Branch is a central point of support and oversight for the Department, providing strategic advice and guidance to the Executive and relevant Portfolio Ministers and consists of the following teams: The Evaluation, Planning and Reporting Section is responsible for ensuring key planning, performance and evaluation processes are embedded in the Department's governance functions with clear lines of responsibilities. The Inquiries Section provides a centralised function that coordinates input from across the Department to support comprehensive parliamentary and public inquiries. The section also uplifts SES readiness for Senate Estimates by anticipating critical topics and driving targeted preparation. The Enterprise Governance Section provides direct support to the senior strategic decision-making and is responsible for managing the Governance Framework, thereby supporting the operational and strategic vision for the Department The Evaluation and Impact Analysis Section is responsible for designing and implementing activities to uplift the Department's evaluation practices, including capability initiatives and evaluation advice. It is also responsible for engagement with other Commonwealth agencies on the impacts of new policies and programs. The Enterprise Risk Section is responsible for ensuring that effective risk management is embedded within the Department and provides advice and support to the Chief Risk Officer and staff across the organisation in identifying, assessing and reporting on their risks. The Strategic Risks Section works with business areas to support them in identifying and managing their strategic and emerging risks and building risk management capability and culture across the department. The Child Wellbeing Strategy and Capability Section supports the department to embed children's safety and wellbeing at the centre of our values, actions and practice by building organisational and operational capability in line with Australia's domestic and child-related commitments. The Ministerial and Parliamentary Branch (MPB) is responsible for providing appropriate and efficient cross-portfolio support to the Ministers' Office, the Executive and senior managers in relation to Ministerial, Parliamentary and Cabinet related processes and consists of the following teams: The Parliamentary Section leads the Home Affairs portfolio parliamentary processes, including Senate Estimates, Questions on Notice, Question Time Briefs, supporting the portfolio's submissions and appearances at Parliamentary Inquiries, and monitoring of Parliamentary business. The Ministerial Coordination Section provides high-level administrative support services to the Home Affairs Portfolio Ministers, their personal staff, their Ministerial offices and the Portfolio Senior Executive. The Ministerial Liaison Section provides support to the Home Affairs portfolio Ministers' Offices and provides and supports departmental liaison officers (DLO) in the Ministers' Offices through a rolling DLO recruitment process. The Ministerial Correspondence Section provides administrative support services to Home Affairs portfolio Ministers and their offices in coordination with the departmental liaison officers in Ministers' offices. The Ministerial Submissions, Briefs and PDMS Section coordinates the portfolio's Ministerial submissions and briefs and manages the whole-of-government PDMS on behalf of the Department. The Cabinet Liaison Office is a central point of contact between the Department, Ministers' Offices, the Executive and senior managers, responsible for providing support in Cabinet related matters across the Home Affairs portfolio. Highly desirable skills and attributes include: Strong stakeholder engagement, consultation and collaboration skills, including the ability to build and maintain productive working relationships with internal and external stakeholders. Excellent written and verbal communication skills, particularly the ability to communicate complex ideas in a clear and logical manner. Sound time management and organisational skills, including working independently to prioritise workloads within required timeframes. Ability to problem solve and exercise sound judgment in a fast-paced environment whilst maintaining a calm, flexible and friendly approach. Excellent strategic thinking and critical analysis skills. Specific responsibilities will vary across the Branches and positions but may include: Developing and maintaining productive relationships with key internal and external stakeholders to achieve outcomes and support the flow of information across stakeholder groups. Collecting and analysing data through consultation with key stakeholders, incorporating feedback into team deliverables and the development of performance evaluation reporting and/or enterprise advice. Providing high quality administrative and logistical support including managing team mailboxes and records management processes, preparing briefing material for high-level governance committees, and responding proactively to incoming requests and work flowing tasks according to priority. Participating in all aspects of the ministerial correspondence process, including the triage, registration, allocation and quality assurance of Ministerial Correspondence. Providing CabNet system support to departmental officers and distribution of Cabinet documents.
