Program Coordinator (ICT Transformation)
The Opportunity
An established and critical player in the utilities sector is embarking on a multi-year, strategic transformation journey. This initiative is designed to introduce next-generation technology and overhaul core operational capabilities, ensuring the organisation is prepared for the rapidly evolving energy landscape.
Key Responsibilities and Deliverables
* Documentation & Governance: Create, maintain, and manage comprehensive program / project documentation, plans, reports, and administrative artefacts, ensuring compliance with delivery standards. Prepare critical gating documentation (e.g. initiative plans, acceptance certificates, closure reports) as per the delivery framework.
* Financial Management: Develop and manage project-level financial forecasts, updating resource and financial data accurately and promptly for planning and reporting. Utilise systems like SAP to interrogate project costs and purchase order status.
* Scheduling & Control: Maintain project schedules, including resource allocation, progress tracking, baselining, and managing cross-dependencies. Assist in the identification and capture of program / project assumptions, risks, issues, and dependencies.
* Stakeholder Support: Provide secretariat support for key meetings (preparing papers, minutes, action items). Coordinate meetings, workshops, and key events with internal and external stakeholders.
* Contract Assistance: Assist with the development and maintenance of vendor contracts related to contract deliverables.
* Operational Support: Provide back-up support for other Project Coordinators within the broader transformation portfolio, including financial forecasting and managing governance boards.
What You Will Bring to the Role
Essential Skills & Experience :
Extensive Experience : Demonstrated experience managing large transformational programs of work with significant impacts across people, process, and technology.
Project Management Rigour : A successful track record in establishing delivery methodologies, governance structures, and robust reporting from the outset.
Financial Acumen : In-depth understanding of project financial management, especially in relation to forecast management.
Technical Proficiency : Advanced proficiency in Microsoft Word, Excel, PowerPoint, Microsoft Project, and Project Server.
Relationship Management : Demonstrated success in developing and maintaining strong internal and external relationships, including successful engagement and influence of vendors and senior stakeholders.
Organisational Excellence : High-level organisational, self-management, and time management skills, particularly in handling conflicting and multiple priorities.
Drive & Initiative : A relentless pursuit of innovative thinking and continuous improvement, thriving in a fast-paced, deadline-driven environment.
Qualifications
Essential : Business administration and project delivery related qualifications and experience.
Desirable : Tertiary qualifications in Project or Business Management, or related fields. Accreditation from PMI, AIPM, PRINCE2 Practitioner, or equivalent.
Desirable Experience
Previous experience working in a dedicated Program / Project Management Office (PMO).
Experience in delivering real-time Industrial Control System Operational Technology.
Experience in the Energy / Utility sector, particularly exposure to transmission, distribution, and market operator functions.
