Executive Assistant – Compliance & People
to provide executive-level administrative, reporting and governance support to both the
Executive
Director - People
and the
Executive
Director - Compliance
. This dual-portfolio role is fundamental to the operational integrity of the organisation and contributes directly to risk management, regulatory assurance and workforce governance.
Position Purpose
The
Executive Assistant – Compliance & People
provides high-level administrative, analytical and reporting support across organisational compliance and human resources governance functions. The position exists to ensure the organisation maintains continuous alignment with legislative requirements, regulatory frameworks, employment obligations and audit standards while supporting executive oversight and decision-making.
Key Accountabilities (Including but not Limited To)
Compliance Governance
Support the organisation's ongoing compliance with the NDIS Practice Standards, Child Safety Standards, WHS obligations and associated regulatory frameworks.
Review incident reports, shift documentation and internal records to identify reportable events, trends and emerging compliance risks.
Maintain compliance registers, audit schedules, risk logs, incident trackers and regulatory reporting documentation.
Prepare internal governance reports, executive dashboards and regulatory submissions for review by the Executive Director - Compliance.
Coordinate internal audits, regulatory reviews and external NDIS audits, including collation of evidence and corrective action tracking.
Monitor and interpret legislative, regulatory and policy changes and communicate impacts to the executive appropriately.
Provide direct executive administrative support to the Compliance Director across audits, regulatory communications and governance reporting.
Human Resources Governance
Provide confidential executive support to the Executive Director - People in the administration of workforce governance, employment compliance and industrial relations documentation.
Coordinate HR compliance records including onboarding, credentialing, probation, training currency, accreditation and workforce compliance evidence.
Assist with employment lifecycle documentation in accordance with the Fair Work Act **** (Cth), SCHADS Award and National Employment Standards.
Support workforce investigations, compliance reviews and employment audits as required.
Maintain strict confidentiality and legislative compliance across all personnel records, privacy obligations and information governance requirements.
Executive Administrative Support
Provide high-level executive administration across both portfolios including correspondence, briefing notes, board and committee papers, reporting packs and document control.
Act as a central coordination point between operational management, Compliance and Human Resources.
Maintain exceptional standards of data governance, document integrity and regulatory traceability.
Contribute to enterprise-wide continuous improvement initiatives relating to workforce governance and regulatory compliance.
Minimum Qualification
A Diploma in one or more of the following fields:
Diploma of Human Resources
Diploma of Business
Diploma of Leadership and Management
Diploma of Administration
Advanced professional proficiency in written and spoken English, including the ability to interpret and apply complex legislative, policy and regulatory material.
Demonstrated capacity to draft executive-level correspondence, reports and formal documentation.
Exceptional attention to detail, accuracy and data integrity.
Highly developed organisational capability with the ability to manage competing priorities in a regulated, high-volume environment.
Strong analytical, documentation and report compilation skills.
High-level digital literacy, particularly across Microsoft Excel, Word and corporate records management systems.
Capacity to operate with autonomy, discretion and sound professional judgement.
Experience in compliance administration, governance support, HR operations or regulated sectors.
Knowledge of NDIS regulatory frameworks, child safety obligations and employment compliance.
