Medical Receptionist/ Administration Assistant (Full-Time)

Do you thrive in a busy, client-facing role where you're the first point of contact? Lifespan Health, a leading private mental health practice, is seeking a full-time Medical Receptionist/Administration Assistant to support our Maroochydore and Caloundra clinics.

This is a role for someone who enjoys variety, can keep calm under pressure, and takes pride in providing a warm welcome to clients while keeping the front desk running smoothly. If you're confident on the phone, quick with systems, and love being the friendly face of a service, this could be the perfect opportunity.


About Lifespan Health

We provide therapy and assessment services to individuals of all ages, supporting mental wellbeing across the Sunshine Coast. With offices in Maroochydore, Caloundra, and Gympie, our team is passionate about making a positive impact.


About the Role

* Between business hours only (8am–5pm, weekdays)
* Likely 2 days in Caloundra, 3 days in Maroochydore (weekly)
* Busy front desk role – phones, bookings, payments, and client enquiries
* Mix of client-facing reception and behind-the-scenes administration
* Work within a professional and supportive team environment


A Typical Day Might Include

* Greeting clients and helping them feel comfortable as they arrive
* Answering incoming calls and managing appointment bookings
* Processing payments and handling Medicare or private health claims
* Supporting clinicians by setting up client files and managing schedules
* Responding to emails and client enquiries with professionalism
* Managing scheduling changes throughout the day to keep appointments on track
* Keeping the front desk organised and ensuring the clinic runs smoothly

This is a busy and structured role with a strong focus on scheduling, phones, and client service. While many tasks repeat from day to day, the pace and the need to juggle multiple demands will keep you engaged.

What You Bring to the Role

* Confidence on the Phone & Front Desk – Comfortable managing client calls, enquiries, and bookings
* People Skills – Warm, professional, and able to create a welcoming first impression
* Administrative Ability – Medical/allied health reception experience is valued, but we also welcome applicants from fast-paced service industries (hospitality, retail, travel) who are looking for a career change
* Tech-Savvy – Quick to pick up new software and confident with computers
* Attention to Detail – Organised, accurate, and proactive in problem-solving
* Professionalism – Understands privacy and confidentiality in a health setting
* Flexibility – Able to work across both Caloundra and Maroochydore
* Blue Card Eligibility – Required for this role
