About the Role
We’re seeking a passionate, skilled, and detail-loving Administration Support team member to help power our growing operations in either Brisbane or Canberra.
You’ll work side-by-side with our clinical and leadership teams to ensure the seamless delivery of services. From client onboarding to supporting NDIS claims to keeping our systems humming — you’ll be essential in creating a calm, organised, and responsive environment for both our team and the people we support.
This role can be full-time or part-time (minimum 3 days/week) and sits within a structured growth plan that includes opportunities to expand your responsibilities over time.
Key Responsibilities
* Deliver professional frontline support via phone, email, and reception duties
* Coordinate client onboarding, appointment scheduling, and staff calendars
* Maintain accurate, compliant client records in line with NDIS and BCB quality standards
* Assist with NDIS documentation, including service agreements, consent forms, reports, and access support
* Process NDIA and PACE claims, invoicing, and payment tracking via Splose
* Provide backup assistance to our finance team, including reconciling and chasing accounts
* Support internal training events, meetings, and rostering
* Assist with general office management including supplies, IT troubleshooting, and equipment
* Contribute to system improvements, process documentation, and collaborative problem solving
Skills and Experience
* Demonstrated experience in administrative support, ideally in health, disability, or NDIS settings
* Working knowledge of NDIS frameworks, service delivery, or willingness to learn quickly
* Strong task management, organisation, and calendar coordination skills
* High attention to detail, particularly in data entry and financial processes
* Effective and warm communication, especially when supporting clients and families
* Proficient with Microsoft Office and ideally Splose or other practice management software
* Adaptable and tech-savvy — you’re comfortable learning new systems
* Confident working both independently and within a collaborative team
