Projects control & administration lead - civil construction

About the Role

This is a newly created role in a growing civil and infrastructure business — brought on to consolidate and own a function that's currently spread across the team.

You'll be working across 3–5 active project sites simultaneously, each ranging from $1M–$5M in value. Your job is to make sure nothing falls through the cracks — that every hour, every piece of plant, every material and subcontractor cost is captured, reconciled, and reported accurately. And that the business's management system isn't just built — it's actually running on the ground.

You'll report directly to the Director and operate with real autonomy across both site and office.

What You'll Own

Daily Controls & Reconciliation

* Reconcile labour hours, plant and equipment, materials, and subcontractor costs daily across all active sites

* Ensure every chargeable resource is captured and reconciled against what's been allocated — plant running on a client site that isn't recorded doesn't get invoiced; that's real revenue lost

* Ensure all project data is accurately captured in Acumatica — identify and close gaps before they become problems

* Manage the procurement cycle: raising purchase orders, tracking deliveries, processing invoices

Project Administration

* Coordinate and minute client and management meetings; own the action register

* Compile and maintain project records, site diaries, and photo registers to contractual standard

* Lead document control across all active projects using Sitemate

People & Systems

* Own onboarding and induction of new site personnel across projects

* Take a partially built management system and finish it — then drive its implementation and compliance across all sites

* Support audits, reporting cycles, and project reviews

What We're Looking For
* A genuine technical understanding of civil construction — from a trade, engineering, construction management, project management background, or time in the resources sector

* Comfortable moving between site and office environments — and between multiple projects simultaneously

* Experience with Sitemate and/or Acumatica highly regarded — or demonstrated ability to get across construction ERP and field management software quickly

* Strong with data and reconciliation — you'll notice when something doesn't add up and you'll chase it down

* Someone who can pick up our current system, identify what can be done better, and get it humming

* Confident dealing directly with a business owner, site crews, clients, and subcontractors
