Executive Assistant to Director | 4 Days | Growth in Role
About the Role
We are seeking a high-level Executive Assistant to work directly with a Director overseeing multiple business entities.
This is a high-trust, high-impact role, suited to someone who is highly organised, proactive, and confident managing multiple priorities across a fast-moving environment.
The role will commence on a casual basis, with a clear pathway to permanent part-time employment, and strong potential to increase in hours as the successful candidate becomes more integrated into the role and business.
Role Structure:
8:30am – 2:30pm
Role Fit & Employment Pathway
Due to the nature of this role and the level of collaboration required with the Director, finding the right fit is essential.
This position will commence on a casual basis, allowing both parties to establish a strong and effective working relationship. Once that relationship has been established, the role will transition into a permanent part-time position.
This is a very important role. We are seeking someone who brings not only the required experience and capability, but also the right energy, attitude, and personal alignment to work closely with the Director.
Key Responsibilities
Executive Support
Manage calendar, scheduling, and appointments
Coordinate meetings, agendas, and follow-ups
Manage inbox and communications on behalf of the Director
Act as a filter for priorities and time management
Operations & Coordination
Maintain structure and organisation across systems, workflows, and digital platforms
Support coordination across multiple entities, ensuring alignment of priorities, timelines, and communication
Track deadlines, deliverables, and workflows
Prepare reports, documents, and internal resources
Client & Business Support
Assist with client onboarding and communications
Support preparation of proposals, service agreements, and documentation
Liaise professionally with clients, partners, and contractors
Maintain structured and consistent file and system management
Strategic Support
Assist with planning and execution of business initiatives
Support coordination of marketing and content rollout
Identify inefficiencies and contribute to process improvements
Provide high-level support across multiple areas
About You
You are highly organised, proactive, and capable of operating independently in a fast-paced environment.
You take ownership of your work, think ahead, and are confident managing multiple priorities without needing constant direction.
You are someone who:
Communicates clearly and professionally
Maintains a high level of attention to detail
Is reliable, accountable, and follows through
Anticipates needs and solves problems before they arise
Is comfortable working closely with a Director in a dynamic environment
You bring:
Proven experience as an Executive Assistant or in a similar high-level support role
Strong organisational and time management skills
Ability to manage competing priorities and deadlines
High level of discretion and professionalism
Highly regarded:
Experience supporting a Director or business owner
Exposure to multi-entity or fast-paced environments
Strong capability with digital systems, project management tools, and workflow organisation
Familiarity with platforms such as Teamwork, CRM systems, Canva, or similar

Remuneration
$45 – $52 per hour casual rate (based on experience), plus superannuation.
A permanent part-time salary package will be offered following a successful initial period.
