Trade office – operations admin support

Sunshine Air & Mechanical Services is looking for someone who wants to work on the front end of an air conditioning business in a trade office, part time and solo some days of the week.

We are situated in Claude Boyd Parade in Bells Creek, off Caloundra Road, first exit, so traffic not too bad.

We do work with Microsoft Teams remotely with bookkeeper and accountant.

We supply and install air conditioning and much of our work is for builders and new homes.

ROLE

* Answering the phone, checking the mailbox (yup, we have one), and being in the office for deliveries
* Managing the OFFICE email account – responding, referring and administering with the support of trade management and accountant
* Staying across the AROFLO job scheduling – under the director of trade, know what jobs have/ are being scheduled and make amendments as directed for builder's work and residential works
* Invoicing jobs that have been completed in AROFLO and integrating to XERO
* Quoting works in Aroflo, issuing the quote and following up on customers
* Entering work orders for contractors into AROFLO
* Entering purchase orders for major suppliers into AROFLO
* Maintaining Daikin stock management, knowing what to order and when using AROFLO
* Ordering Daikin Stock – sending PO to Daikin in Aroflo
* Ordering Daikin parts as required
* Setting up builder's projects for us to supply and install air conditioning, checking purchase orders against price / quote and acting if required
* Administration for any recall works and setting up tasks in AROFLO
* Administration for Daikin warranty works
* Managing paperwork for the delivery of stock and consumables
* Maintaining some in-house compliance registers – refrigerant gas, license, gas cylinders
* Keeping \"house\" in the office – office supplies, cleaners, general day to day
* Scanning and filing
* AROFLO housekeeping – opening tasks, closing tasks, updating inventory and SRO items and under direction, settings – and supporting accountant with administration tasks

Room to grow and learn in this role.

Expected hours are - 7.30 am to 2.30 pm daily but can be flexible and will be discussed with the right person

Ideally, our applicant will

* Be self-managed and be able to work unsupervised
* Have good attention to detail
* Possess good judgment and seek out information needed to do the job
* Be able to roll with the punches when job schedules are thrown under the bus from time to time because builders are not always easy
* Be resilient to endure all the moving parts of a trade business
* See the humours side and have the patience of a saint on days when nothing goes right
* Have a solid work ethic so you'll fit in with the rest of us
* Be happy doing what they are doing
* and JOB MANGEMENT SOFTWARE experience would be a advantage

We are paying market rates based on skill and experience, a 9-day fortnight is on the table, uniform shirts provided and the Tradies are a great bunch of lads.
