About the Role

We're looking for an enthusiastic, organized, and people-focused Office Administrator/Receptionist to join our Sydney team. If you thrive in a dynamic, fast‐paced environment, love variety, and enjoy making things run seamlessly, this is the role for you. You'll be the central hub of our Sydney office, supporting engineers, leaders, and the wider team so everything operates efficiently and effectively.

Responsibilities
* Be the welcoming face and voice of the Sydney office, manage meetings, travel bookings, and document preparation.
* Help maintain a positive, connected team culture, assist with health and safety, marketing, and general administrative tasks.
* Provide support to engineers and senior managers, taking ownership of opportunities to grow into areas such as project coordination or document control.
* Assist with commercial processes, including fees, variations, and project invoicing.
* Welcome visitors (internal staff and external clients) by greeting them in person or on the telephone, answering or referring inquiries.
* Coordinate allocation/use of company resources such as site vehicles.
* Assist with setting up project and fee folders online (e.g., ProjectDocs, Public Folders).
* Support the Office Manager with ad‐hoc tasks to keep everything running smoothly.
Qualifications
* 2+ years of administration experience (experience in professional services or engineering is a bonus).
* Excellent communication skills and confidence to build rapport at all levels.
* Ability to juggle multiple tasks and prioritize effectively in a fast‐paced environment.
* Strong Microsoft Office skills.
* Outstanding organization and attention to detail with a proactive, can‐do attitude.
* Adaptability and problem‐solving skills, with the ability to work independently and collaboratively in a close‐knit team.
