Primary objective
Provide administrative and secretarial services to Health Professionals within the Operating Theatre complex including to
supporting the flow of the emergency surgery list, liaising with ward staff re patient requirements for emergency surgery and
completing timely data entry to reflect real time allocations of patients. Ensure accurate data input into internal electronic patient
management systems in relation to surgical procedures undertaken within the unit.

Key duties and responsibilities
1. Provide a high standard of administrative services to the Operating Theatre and CSD staff while maintaining strict

confidentiality.
2. Organise and provide high level administrative support for meetings including agenda preparation, agenda paper management,

minute taking, calendars and room bookings.
3. Screen and prioritise incoming verbal and written communications and prepare draft responses in an appropriate and timely

manner.
4. Maintain stationary stock levels within the operating theatre complex.
5. Coordinate the processing and inputting of data and datasets for the operating theatre complex. Generate statistical data

reports monthly and upon request.
6. Follow defined service quality standards, work health and safety policies and procedures relating to the work being undertaken

in order to ensure high quality, safe services, and workplaces.
7. Provide high level administrative support including accurate data entry, filing, electronic records management and the

preparation and dissemination of correspondence.

Selection criteria
Essential
1. Demonstrated administrative experience, ability to organise and prioritise workload to meet deadlines.
2. Demonstrated ability to prepare written reports, record minutes of meetings with knowledge of medical terminology.
3. Demonstrated effective interpersonal communication and organisational skills of a high order, including an ability to work within

a team.
4. Awareness of and compliance with the management of highly confidential information.
5. Demonstrated knowledge and experience in the use of computer systems including word processing, spreadsheets, emails,

records management, database, and the ability to use or learn computerised hospital information systems.
6. Awareness of multicultural issues and an ability to interact effectively with people from diverse cultures.

Desirable
1. Experience in a hospital or health service workplace.
2. Medical terminology or the ability to acquire or equivalent relevant experience.
