ABOUT THE ROLE:

Under the direction of the Office Manager, the Administration Support Assistant provides reception and administrative support across the multifunctional team based in our Kununurra office. This person is responsible for working collaboratively as part of a team, performing administrative and organisational tasks to keep the day-to-day office activities operating efficiently, and managing the office reception.

KEY RESPONSIBILITIES:

Duties

* Manage reception area, including receiving visitors, managing the telephone switchboard, and directing enquiries.
* Manage contractor and visitor access.
* Maintain a clean and safe reception area.
* Maintain incoming/outgoing mail and fax register and the collection and distribution of mail.
* Manage bookings of meeting rooms.
* Arrange the maintenance and repair of office facilities and equipment as required.
* Assist with organising travel, meetings and other KLC activities
* Provide logistical support, including arranging catering, venue hire, and deliveries
* Provide administrative assistance and support to the Team

* Travel allowance forms

* Reimbursement forms
* Purchase orders
* Expenditure requisitions
* Preparing correspondence

* Commit to delivering services in consideration of cost, time and resource efficiencies

* Assist with the coordination, planning and organisation of the KLC AGM.
* Arrange for servicing and repairs to KLC assets as required
* Act as the primary point of contact for KLC facilities bookings for both internal and external customers in accordance with KLC policy and procedures
* Oversee the KLC donga, including management of bookings, organising maintenance and repairs, and cleaners as required.
* Maintain a neat and tidy stationary and print area, monitor inventory and order stationary and other office supplies as required
* Periodically tidy up staff kitchens and organise replacement of inventory
* Putting out and retrieving weekly rubbish bins

Financial

· Ensure adherence to all finance and procurement policies or contractual agreements relevant to KLC's basic support activities for PBCs.

· Operate purchasing functions for the Unit as delegated and in accordance with KLC purchasing policy.

Occupational Safety and Health

· Actively promote safe working practices across all activities.

· Report all incidents and near misses in accordance with KLC policies and procedures and legislative requirements.

· Maintain a safe workspace and actively contribute to the health and safety of the workplace by adhering to all health and safety policies and procedures.

Compliance

· Comply with all internal KLC policies and procedures and ensure the team's adherence.

· Demonstrate an awareness of and commitment to the KLC Vision and its Values.

Other

· Other reasonable tasks as directed by authorised KLC personnel or representatives.

SELECTION CRITERIA:

Essential

· Certificate II, III or IV in Business Administration, Office Support, or Customer Service, or relevant experience.

· Excellent verbal and written communication skills, with the ability to deliver information clearly and confidently.

· Proficient in Microsoft Office Software (Outlook, Word, Excel) and familiar with booking/scheduling systems, visitor management tools, and phone systems.

· Skilled at handling high volumes of phone calls, emails, and in-person enquiries efficiently and professionally.

· Experienced in managing competing priorities, maintaining accuracy, and ensuring smooth daily office operations, sometimes under pressure.

· Demonstrated initiative and ability to work both independently and co-operatively as part of a diverse team.

· Ability to greet and assist clients, staff, and visitors in a courteous, respectful, and culturally sensitive manner.

· Experience in working with or dealing with Aboriginal people.

· Well-groomed appearance and friendly nature.

· Current C Class driver's licence or eligibility for a licence.

· Satisfactory National Police Clearance (obtained within the last 6 months).

Desirable

· First Aid Certificate

· Experience in minute taking will also be highly regarded.
