About the role
We are seeking a capable and detail-oriented Financial Planning Coordinator to join our financial planning team in a newly created, part-time role.
This position offers 20-25 hours per week, providing flexibility within our part-time structure.
This is a key internal role responsible for owning and coordinating advice workflow, ensuring advice work progresses efficiently from client meeting through to completion. You will work closely with the Principal Financial Planner, Client Service Manager and external paraplanners to ensure work progresses efficiently and is properly completed.
The role suits someone who understands financial advice concepts and can translate strategy discussions into clear, practical paraplanning instructions.
Key responsibilities
* Own and coordinate advice workflows across the practice to ensure work progresses steadily from meeting through to completion
* Close client advice files to compliance standard, ensuring all documentation and evidence are properly recorded.
* Prepare clear post meeting paraplanning instructions and help coordinate efficient delivery of advice documents
* Liaise with external paraplanners to clarify strategy, resolve queries and maintain progress
* Coordinate annual review workflows, including tracking review cycles and follow‑up activity
* Check advice documents for completeness and consistency before adviser review
* Provide limited relief administration support during staff absences, while retaining primary role for advice coordination
Skills and attributes
* Experience within a financial planning practice (administration, paraplanning support or coordination
* Decisive in prioritization and ability to manage multiple work flows
* Sound understanding of financial advice strategies and structures
* Strong attention to detail and analytical thinking capability
* Ability to explain strategy concepts clearly in writing
* Demonstrates follow‑through and accountability for completing work
* Organised, methodical and comfortable working independently
* Working knowledge of XPLAN and Microsoft Office is preferred
