Universal Cranes is a privately owned family business that operates mobile crane hire branches throughout Queensland. We have a fleet of 200 cranes ranging from 2.5T to 1200T, including minicranes, Frannas, all-terrains and crawler cranes. Universal Cranes began as a family crane hire business in 1993 and have grown to become a national crane hire company. We pride ourselves on maintaining a family business service culture while providing our clients with a national high-capacity fleet.

The Roma branch of Universal Cranes has been serving the local crane hire market for over 10 years, earning a strong reputation. Our fleet includes 8-10 mobile cranes, 4 trucks, and a dedicated local team of 13 personnel.

About the Role:

To be considered for this role you must be able to demonstrate great communication skills with the ability to work autonomously and cohesively with the broader team. You will have a proactive mindset, who is a team player that has the flexibility to meet the changing needs of the business.

Reporting to the Branch Manager, duties include but not limited to:

* Carry out administrative activities to ensure efficient operation of the branch
* Ensure accurate data entry and record keeping.
* Preparing and issuing invoices for company services to customers.
* Accounts payable and receivable processing and reconciliations.
* Uniform / PPE ordering and maintenance
* Assist Branch Manager with preparation of reporting requirements
* Booking / Managing travel arrangements
* Raising Purchase Orders
* Maintaining the office space and re-stocking office supplies
* Identify opportunities for procedural and continuous improvement.
* Ensuring compliance with health and safety regulations and customer requirements
* Managing the filing of documentation
* Verify and validate timekeeping information and liaise with payroll for processing.
* Coordinate training and inductions for field staff.
* Maintain compliance documentation for personnel and equipment.
* Maintain effective communication within the office and with other branches.
* Handle incoming calls, emails, and inquiries, providing excellent customer service.

About you:

* Minimum 3 years of administration experience in a similar role.
* Excellent communication and interpersonal skills.
* Diary management skills and experience with Microsoft Outlook.
* Strong organisational and time management skills.
* Experience with NetSuite Oracle (preferred).
* Intermediate skills in MS Excel and Word.
* Ability to work independently and as part of a team.
* Attention to detail and a proactive attitude.
