Orthopaedics 360 is a boutique private surgeon's practice located in the newly opened Eastwood Private Hospital. We strive to provide the best possible patient care and surgical solutions driven by Adelaide's leading surgeons and an impeccable administrative team. We are seeking a motivated, self-sufficient and highly organised personal assistant to assist one of our surgeons and the small team as required. As a Personal Assistant, you will have the opportunity to work closely with a highly skilled surgeon and his team, as well as provide support to the patients and administrative team whilst maintaining a busy and ever-changing schedule. This is a dynamic role which enables you to display your impeccable organisational skills, ability to manage competing priorities and manage the surgeon's schedule as well as patient's surgical experience.

Duties & Responsibilities

In your role as personal assistant you will be required to manage the surgeon's administrative requirements as well as the patient's. You will be point of contact for all patients, hospitals and other health care professionals. You will be required to arrange patient appointments (both internally and externally), surgical arrangements i.e (theatre lists, equipment bookings, pre-operative scan arrangements and anaesthetic requirements). You will manage the surgeon's schedule, patient appointments and off-site clinic arrangements. You will manage the patient(s) surgical, private and public accounts. You will reconcile payments, manage accounts and debt recovery.

You will thrive in an environment where you are able to work autonomously and manage your schedule to provide the best possible administrative support to the surgeon and patients. You will work alongside a small supportive administration team who provide assistance, training and support as required. The ideal candidate will enjoy developing this role as their own and enjoys a dynamic working environment.

Skills & Experience

· The ideal candidate would have a patient care and customer service oriented approach

· Express empathy, understanding, patience and compassion for patients who are arranging surgery and provide support throughout their entire surgical experience. In this role, you will be the point of contact for all patients queries via phone, email or in person

· This a dynamic and fast paced environment that requires you to learn new skills quickly, manage competing priorities, execute deadlines and working independently as well as in a team, covering other staff members as required

Be able to demonstrate the ability to multitask and deliver on urgent tasks

· Xestro (Medical software) experience is desirable but not essential

· Experience in a personal assisting or medical rooms is required

· Understanding of Medicare, Surgical Billing, Health funds and Hospital billing is desirable

· It is imperative as a part of the role that you are able to manage urgent and

unexpected tasks with a positive and efficient approach

· Warm, friendly and professional written, verbal and communication skills essential

· Ability to use or learn to use Mac computing systems is required

· Basic understanding of IT and understanding different computing systems is essential

· Strong understanding of confidentiality and attention to detail is required

· Exceptional organisational and time management skills

· Initiative and superior problem-solving skill-set

· Ability to build and maintain relationships with patients and healthcare organisations is essential

Working conditions

· Brand new Eastwood location, enclosed secure car parking (no charge).

· Monday to Friday. 38-hour week, 9:00am – 5:00pm. Additional overtime may be required on clinic days

· 3-month probation period

· Variety of work and ability to make the role 'your own'

· Attractive salary package and remuneration and performance reviews following employment will be held at 6 months, 12 months and then yearly thereafter
