Receptionist/ Admin: Become the Warm Heart of Our Practice

Your Key Responsibility: Administrative Support
This role is about cultivating a truly positive experience for everyone who interacts with our practice. Your compassionate leadership will be essential in these areas:
* Creating a safe and welcoming experience for everyone who walks through our doors.
* Managing client records with accuracy and confidentiality.
* Scheduling and managing appointments for new and ongoing clients.
* Processing payments and invoices.
* Managing the schedule of 6-8 psychologists, and following up on client queries.
* Responding to client emails and queries with empathy and understanding.
* Providing valuable administrative support to our dedicated team of psychologists.
* Understanding and executing the GP Mental Health Systems (i.e., Medicare codes, queries etc.)
* Ensuring all client have their relevant paperwork up to date for appropriate Medicare claims.
What We're Looking For
We need someone who brings proven experience in leading teams and developing effective systems. We highly value:

* Ability to prioritise workload effectively and in a timely manner.
* Clear and professional verbal and written communication.
* Solid computer skills with initiative to problem solve software/computer glitches.
* A proactive, "can-do" attitude.
* The ability to stay calm, composed and effective, even when things get busy.
* Availability 2 days/ week (9am - 4.30pm), and with the capacity and flexibility to take on more hours if required (e.g., to cover for our other receptionist's sick leave or holidays). No weekends required.
* A desire to establish a long-term career in this role and with this team.
* Ideally residing at a suburb close to Fremantle to ensure easy & reliable commute to work.
* Bonus Points: Experience in a healthcare or psychology practice, especially familiarity with Medicare systems (i.e., GP Mental Health Treatment Plans) and the Halaxy practice management software.
* Current or willing-to-obtain Working with Children Check
