Offer description

We are seeking a dedicated and organised Administrator to join our team. This role will assist with all administration tasks for wholesale and promotions, including order processing and administration for purchasing, wholesale sales and promotional sales.

Purchase seed for wholesale and promo orders, combining with demand for the rest of the company where appropriate.

* Purchase packets for promo orders to customers' specification, including creating lays and signing off proofs.
* Upload orders to ERP system using order template; once loaded, key order lines.
* Reserve seed items on order, ensuring appropriate lots are chosen for germination and export testing.
* Apply for Phytosanitary certificate using the PHES website, ensuring all necessary documentation is provided such as lot evidence, customer import permit etc.
* Send picking lists to Wholesale Dry Store Assistant for order packing, including any special packing instructions.
* Deliver and invoice orders when ready for dispatch, obtaining shipping quotes from the most appropriate courier and adding shipping/Phyto charges to order.
* Book shipment with courier and arrange collection, liaising with DSA to ensure that parcels are collected on schedule.
* Assist the Wholesale Sales Manager with quotes by compiling information such as inventory part numbers, seed costs, TSWs, availability and germ information and previous pricing into a spreadsheet ready for quoting.
* Keep the WorkPlan spreadsheet up to date, with pending orders kept on the set-up tab and confirmed orders on the Live tab.
* Reserve stock on works orders and issue, passing to machines team.
* Carefully monitor promo orders against deadlines, ensuring any issues with seed or packet deliveries are flagged to the Wholesale Sales Manager immediately.

Qualifications

* Proven office experience with a strong understanding of administrative procedures
* Proficiency in computer skills including Microsoft Office (Word, Excel, PowerPoint)
* Experience with data entry
* Excellent organisational skills with the ability to prioritise tasks effectively
* Strong typing skills for efficient document preparation and data management
* Demonstrated clerical experience supporting busy office environments
* Ability to work independently with minimal supervision while maintaining accuracy and attention to detail

Job Type

Full time, Permanent, Monday to Friday 37.5 hours per week
