Location & Working Hours
The Surgical Services unit, including the Cardiothoracic and vascular Ward, will use Monday to Wednesday 7:00 am – 3:30 pm. Additional shifts may be taken across other wards or departments. The role is job‐shared with another Ward Clerk.
About the Role
As a Ward Clerk, you will promptly respond to phone calls, emails and patient inquiries, assist families, manage patient records, collaborate with staff, schedule appointments and maintain accurate data entry.
Responsibilities
* First point of contact: respond to phone calls, emails and patient inquiries.
* Family support: assist families with questions and information regarding their loved ones.
* Patient records management: maintain accurate patient records, update charts, and compile documentation for the Clinical Information Department.
* Collaboration: work closely with Nurses Unit Managers, nurses, clinicians, allied health professionals, Clinical Support Officers and other admin staff.
* Appointment scheduling: arrange follow‐up appointments for patients.
* Data entry: ensure accurate data entry on the patient journey board.
Qualifications & Skills
* Able to handle sensitive situations with empathy and professionalism.
* Previous administrative and/or customer service experience is preferred but not essential.
* Strong communication skills – clearly communicate with patients, families and healthcare professionals.
* Excellent organisational abilities to manage multiple tasks and prioritise in a fast‐paced environment.
* Attention to detail – ensure accuracy in patient records and data entry.
* Team player – willingness to collaborate with diverse teams and support colleagues.
* Problem‐solving skills – assess situations and find practical solutions promptly.
