The Department of Chiropractic within the Faculty of Medicine, Health and Human Sciences is seeking a Clinic Administrator to support the smooth, effective operation of its three chiropractic teaching clinics across Macquarie Park, Eastwood, and Summer Hill.
This is a varied, people-centred role where you'll be the operational linchpin across all three sites, managing supplies and inventory, coordinating IT and general maintenance, overseeing reception workflows, and ensuring each clinic delivers a seamless experience for patients, students, and clinical staff alike. You'll spend one day per week at each clinic location, with a fourth day providing additional support where it's needed most, bringing consistency and reliability to every site you touch.

About The Role
Reporting to the Clinic Operations Coordinator, you'll provide essential operational, administrative, and mentoring support across all three chiropractic clinics. Your key responsibilities will include:
Managing the day-to-day operational needs of each clinic site, including supplies procurement, IT coordination, and general maintenance to ensure uninterrupted service delivery
Supporting reception operations across all three clinics, including managing patient information, scheduling appointments, and ensuring a welcoming, professional front-of-house experience
Mentoring Master of Chiropractic students on placement in reception duties, patient communication, and administrative best practice — fostering confidence and professional growth
Standardising reception procedures and workflows across the three clinic locations to ensure a consistent and high-quality experience for patients and staff
Providing administrative support to the Clinic Operations Coordinator and Director of Clinics in the Department of Chiropractic
Freeing up clinic supervisors to focus on clinical mentoring by taking ownership of operational and administrative tasks
Contributing to the continuous improvement of clinic processes, systems, and service delivery standards
The role requires the ability to perform manual handling tasks, including lifting and moving clinic supplies, equipment, and deliveries as required across all three sites.
Please note: This role requires working during clinic opening hours of 12pm–8pm and regular travel between the Macquarie Park, Eastwood, and Summer Hill clinic sites. A current NSW Driver's Licence is required for this role.

The Department of Chiropractic operates three patient-facing teaching clinics where students in the final year of the Master of Chiropractic program complete a full year of clinical placements before graduating. These clinics provide chiropractic treatment to communities across Macquarie Park, Eastwood, Summer Hill, and surrounding areas — giving students invaluable real-world clinical experience under expert supervision.

About You
You are an organised, service-driven professional who takes pride in keeping things running smoothly and creating positive experiences for everyone who walks through the door. You bring hands-on experience in clinical reception or a similar customer-facing environment, and you're someone who naturally steps in to support, train, and mentor others. You're comfortable working independently across multiple locations and you approach each day with energy, reliability, and a solutions-focused mindset.
Selection Criteria
Demonstrated experience working in a customer service setting, preferably in a practising clinic or healthcare environment,
Proven track record in organisational skills, including prioritising tasks, solving day-to-day administration issues, and managing work through to completion within tight deadlines,
Proficiency with computer systems including Microsoft Office applications, internet, and database management,
Strong interpersonal and communication skills, with the ability to build rapport with patients, students, clinicians, and diverse stakeholders, and
A genuine enthusiasm for working with students and creating an environment that supports learning and professional development.
Desirable Criteria
An understanding of Health and Safety principles in a clinical setting,
Experience mentoring junior staff or students in administrative tasks and soft skills development
Specific Role Requirements
Ability to work during clinic opening hours of 12pm–8pm
Current NSW Driver's Licence
