Are you someone who's genuinely helpful, makes people feeling like they're in good hands, and actually cares about getting things right for them?
NV Health delivers weight loss programs alongside bariatric surgeons, providing clients with structured pre- and post-operative dietetics and lifestyle coaching support.
We're looking for a Practice Administrator to coordinate the flow of clients from first enquiry through to program completion — following up on enquiries to schedule consultations, verifying details, coordinating documents, managing program scheduling, and keeping everything on track through key stages. You'll be the friendly, reassuring voice clients hear when they need help navigating the process.
This is a phone, email, and systems-based role from a dedicated office on the Gold Coast. Our processes are well-defined, so you'll always know what needs to happen next — and what a job well done looks like.
About the Role
* Coordinate documentation between clients, practitioners, and our clinical team — verify details and ensure accuracy before processes begin
* Guide clients through administrative steps over the phone with patience and clarity, and keep them informed on where they stand at every stage
* Follow up on applications, timeframes, statuses, and enquiries to keep things progressing
* Manage allied health team schedules — match client and clinician availability into an optimised timetable
* Keep client data accurate across our systems to assist in generating reports for operational visibility
* Assist with a range of operational tasks — social media posts, keeping systems organised, and contributing to projects as the business grows
What We're Looking For
* Friendly and engaged — the kind of person people can tell is genuinely there to help, especially over the phone
* A natural team player — you work closely with our clinical and admin team, not in a silo
* Switched on, organised, and detail-oriented — you pick things up quickly and follow through on everything
* Someone who thrives in structured, process-driven work with clear outcomes
* Efficient and focused — you get things done properly without letting them take longer than they need to
* Comfortable with technology and digital systems
* Technically sharp — you pick up new tools quickly, find better ways to use the ones you have, and you naturally look for ways to streamline how things get done
* Experience is a similar role preferred, but not essential
* No specific qualifications required — this role is about the right attitude, being switched on, and being organised and efficient
Why Join Us?
* A growing clinic helping people live their best lives.
* A close-knit team where your contribution is visible and valued
* Gold Coast based with a modern work environment
* We're flexible on hours — anywhere from 3 to 5 days per week.
* In a world racing to automate everything, this role exists because real people still want to talk to real people — and we're building a team around that.
* Not a dead end job — a real career pathway into systems, operations, and broader business involvement for someone who wants it
