**Purpose of the Role**

This is the go-to office person working closely with our C suites executive management, employees and vendors.

**Responsibilities**

Include but are not limited to:

- Organising, planning, and coordinating team building events, celebrations, lunches, and offsite meetings
- Expense management for outgoings including that of the Executive Director
- Plan and execute team events for Leadership Team
- Document/ presentation preparation, minutes, and actions
- Signing documents and contracts on behalf of CEO - COO - CFO and Executive Director
- Deal with matters requiring attention, or refer them to the appropriate person in the absence of the individual or Leadership Team
- Hosting visiting executives - coordinating schedules, events and internal events
- Internal event coordination - Steak and Chips - EOFY and Christmas Party
- Managing the company calendar
- Assist with the planning and managing of the Annual Sales Incentive trip
- High level management of the calendar for the CEO and Executive Director
- Travel arrangements for CEO - Executive Director - COO and CFO as well as (ADHOC) for other management and leadership teams within the business.

**Office Coordination Duties (Bris and Syd remotely)**
- Catering when required for in-office events
- Manage any cleaning issue through our cleaners
- Monitoring the use of equipment and supplies within the office (Coles food shop - online stationary order and IT equipment)
- Coordinating the maintenance and repair of office equipment
- New starters and onboarding -access passes, locker and WHS walk through
- Dealing with queries or requests from employees regarding the office
- Ensuring that common areas in office premises are equipped with required office supplies as appropriate
- Managing the booking for meeting rooms

**Knowledge, Skills, and Abilities**
- Previous Executive Assistant and Office Management experience required min of 2-3 years is preferred
- Able to proactively anticipate needs and adjust plans based on contingencies that arise
- Experience working under pressure to complete tasks while being diplomatic and collaborative
- Thrive in a none structured working style - each day can be different in terms of demands and requirements
- Positive attitude, strong integrity, and work ethic, approachable and easy going
- Confidence, personal presentation, and communication skills suited to liaising at management and executive levels
- Relevant experience supporting a high performing team in a fast-paced corporate environment
- A strong sense of accountability and commitment to delivering quality service
- Outstanding organisational skills, ability to manage competing priorities daily
- Advanced competency in MS Office suite is a must (primarily Outlook - PowerPoint, Excel, Word and TEAMS)
