Position Overview
We are seeking a compassionate and professional Full Intake Officer/Receptionist to join our team for a full-time position. This role is the first point of contact for individuals and families reaching out for loss and grief support, and requires a calm, empathetic manner paired with strong administrative and organisational skills.

Key Responsibilities
* Act as the initial point of contact for all client and community enquiries via phone, email, and in-person.
* Conduct initial intake conversations with sensitivity, maintaining confidentiality and professional boundaries at all times.
* Accurately collect and input client information into our electronic systems.
* Manage appointment scheduling using our online booking and database record system.
* Provide administrative support to the clinical team, including data entry, document preparation, and file management.
* Liaise with internal staff and volunteers to coordinate client services.
* Referral of clients to other support agencies when required.
* Work both independently and collaboratively within a small team.
* Prioritise and manage multiple tasks and client needs in a calm and efficient manner.

Key Requirements
* Demonstrated empathy and emotional maturity when dealing with clients experiencing grief and loss.
* Strong interpersonal and communication skills.
* Proficient in Microsoft Office Suite (Outlook, Word, Excel).
* Experience using online booking systems and/or electronic medical record databases.
* Ability to maintain professional boundaries while offering supportive communication.
* Proven ability to work independently and as part of a team.
* Excellent time management and organisational skills.

Desirable
* Previous experience in a mental health, community services, or healthcare setting.
* Understanding of grief, bereavement, or trauma-informed care (training can be provided).
* Experience using Zanda
* Qualifications in counselling or other related field
