Ffice Administrator – 3 Month Probation Period
Location: Edinburgh Park (initially part-time, progressing to full-time)
About the role: We're a growing industrial technical services company with 5 qualified technicians servicing 4 major industrial clients. We're looking for a friendly, positive office administrator to work alongside our current office administrator during handover.
Key responsibilities:
* Prepare and issue invoices and quotes for clients
* Be proficient ins safety documentation
* Order parts and materials as needed
* Purchase small equipment items for our clients
* Manage scheduling and calendar coordination for technicians
* Prepare maintenance and service reports on multi-million dollar equipment
* Coordinate yearly maintenance plans with qualified technicians
* Prepare detailed quotes for major industrial clients
* Assist with JSA (Job Safety Analysis) ans SOP (Safe operating procedures) and safety reporting
* Assist with training plans and scheduling of specialised equipment
* Respond to emails professionally and promptly
* Bank reconciliation using Xero
* Prepare reports for management and clients
* Work collaboratively with our dedicated bookkeeper and accountant on financial tasks
* Assist in growing the business and our social media
What we're looking for:
* Australian Citizen.
* Fluent English communication skills (written and spoken) – essential for client and team interactions
* Experience with Xero accounting software (essential)
* Strong report writing and documentation skills with excellent attention to detail
* Proven organisational skills and ability to manage multiple tasks
* Experience with invoicing, quotes, and basic bookkeeping
* Comfortable working with technical teams and understanding service requirements
* Excellent communication skills (written and phone)
* Friendly and approachable – you'll be a key point of contact for both our staff and clients
* Ability to work independently from home

Working arrangement:
* Initial training period: 2 days on-site at Edinburgh Park, 2 days work from home or meeting at Woodcroft.
* Full-time start date: 20th March days per week: 3 days on-site, 2 days work from home)
* 3 month probation period
* Thorough handover period working alongside our current administrator
* Supportive team environment with dedicated bookkeeper and accountant to handle complex financial tasks – you'll focus on day-to-day operations, maintenance reporting, and quote preparation
