The Experiential Producer is responsible for end-to-end delivery of experiential programs — from creative concepting and scoping, to production, installation and onsite management.
You will bring ideas to life through brilliant project management, creative problemsolving, supplier leadership, and a relentless focus on quality.
This role suits someone who understands how fans move through a space, what engages them, and how physical activations can integrate with digital content, influencers, data capture and social amplification.
You will work across brand activations, bespoke builds, sporting events, music festivals, pop-ups and client-owned events — often running multiple projects with different timelines simultaneously.
Key Responsibilities
1. End-to-End Project & Production Management
Lead experiential projects from brief to delivery, managing timelines, budgets, risks and internal workflows.
Develop detailed project plans, run sheets, critical paths, installation schedules and technical requirements.
Own on-site delivery, ensuring builds are safe, compliant, functional and visually outstanding.
Ensure all legal, engineering, safety, and permit requirements are met (structural certifications, temporary structures, traffic management, site inductions, risk assessments, etc.).
2. Creative Development & Experience Design
Work closely with designers and strategists to shape concepts and functional layouts for activation zones and event environments.
Translate creative ideas into executable solutions, balancing innovation, practicality, and budget.
Inform experience design with an understanding of audience behaviour, fan engagement trends, content capture opportunities, and digital integrations (e.g., QR mechanics, AR filters, gamification, user-generated content).
Source, brief and manage a broad network of production partners (fabricators, tech integrators, staging, AV, lighting, props, signage, digital vendors, staffing agencies, logistics providers).
Conduct competitive quoting processes and recommend optimal supplier mixes that enhance quality and cost-efficiency.
Oversee fabrication, prototyping, pre-build checks and quality assurance.
3. Budget Ownership
Scope and manage project budgets end-to-end, ensuring accurate forecasting, transparent reporting, and strong commercial stewardship.
Track costs, variations and contingencies, providing regular updates to internal teams and clients.
4. Client Engagement & Relationship Management
Act as the day-to-day contact for clients across assigned projects.
Confidently present concepts, production recommendations and progress updates.
Provide proactive solutions, options and recommendations when challenges arise.
5. Staffing & On-Site Operations
Lead all on-site operations including bump-in, bump-out, rehearsals and eventday execution.
Recruit, brief and manage promotional staff, brand ambassadors and operational teams.
Ensure all onboarding, rostering, training and uniform requirements are clearly communicated and executed.
6. Internal Collaboration
Work closely with Strategy, Creative, Client Service and Talent teams to deliver cohesive, insight-led and culturally relevant experiences.
Partner with the Operations Lead on workflow, production processes and system improvements.
Skills, Experience & Attributes
Core Experience
6-8 years of experience in experiential, events, activations or integrated brand experience (agency preferred).
Proven track record delivering bespoke builds, large-scale activations, pop-ups, or brand experiences with multiple moving parts.
Experience within sport, music, festival or cultural environments preferred.
Strong understanding of structural requirements, fabrication processes, materials, safety protocols and engineering compliance.
Ability to create and interpret production documents including site plans, staging layouts, risk assessments, supplier scopes and AV specs.
Competence with budgeting, quoting, procurement and financial tracking.
