About the role
The Fundraising Administrator will provide administrative support to the Fundraising Team, with a strong focus on donation processing, donor administration and the accurate maintenance of fundraising data between the CRM (Salesforce) and other related platforms.
The role contributes to the smooth running of day-to-day fundraising activities by keeping work organised and on track and requires a high level of attention to detail and process, time management and an ability to build strong and mutually beneficial relationships.
Key responsibilities
* Acts as the first point of contact for donor calls, enquiries and requests, ensuring prompt and professional responses, with all interactions accurately recorded in Salesforce
* Imports and reconciles donation information from external fundraising sites and payment gateways (PayPal, Stripe, Windcave, Good2Give, GiveNow, Containers for Change etc.)
* Process and update donor information in Salesforce - address updates, opt outs, general contact updates and data cleansing, return to sender mail
* Generates and reissues donor thank you letters and receipts (electronic and postal)
* Enters and tracks invoices in Salesforce, including payment follow up, working closely with the Finance department
* Produces annual statements for regular donors - compiling accurate lists, updating letter templates, completing mass send
* Uses Salesforce to accurately capture and track stakeholder relationships, partnerships and deliverables
* Supports the Fundraising team with Salesforce reporting and dashboard requirements, helping to coordinate priorities across multiple projects
* Maintains accurate corporate volunteering data in Salesforce, resolving any data discrepancies between the booking platform integration and Salesforce
* Updates Salesforce with output figures from the corporate volunteering register
* Efficiently supports administrative requirements across all Fundraising portfolios, including appeal administration, event support and updating key reports and CRM systems, with a focus on Salesforce
* Monitors the Fundraising inbox, triaging and directing emails to the appropriate team members for immediate action
Essential Criteria
* Highly developed communication and interpersonal skills
* Strong recordkeeping skills and the ability to learn new systems, including the company CRM, Salesforce.
* Well-developed computer skills, with proficiency in the Microsoft Office suite
* Demonstrated customer service experience, with the ability to manage enquiries professionally and efficiently
* Ability to work independently and as part of a team in a fast-paced environment
* Ability to adapt flexibly to changing priorities, challenges and competing demands
Desirable Criteria
* Experience working in a fundraising environment
* Experience working in the Not-For-Profit sector dealing with poverty, health or disadvantage
* Understanding and experience with Salesforce or similar CRM platform
* Strong administration and process skill set
