We are looking for a
Customer Service & Experience Coordinator
—someone energetic, warm, organised, and people-focused—who thrives in a busy environment and loves building genuine connections. This role is central to our team. You'll be the first impression for clients, the trusted support for clinicians, and a key contributor to a smooth, memorable customer experience.

About the Role
You will be the go-to person who keeps everything running smoothly at the front desk and behind the scenes. You'll provide exceptional customer service, coordinate appointments, support our clinicians, and help elevate the client journey across the clinic. This is not a passive admin job—it's a dynamic, relationship-driven role where your personality, initiative, and communication skills matter.
Key Responsibilities
Customer Experience & Front of House
Greet clients warmly, make them feel welcomed and supported
Manage enquiries via phone, email and in person with professionalism and positivity
Build rapport with clients, families, carers and stakeholders
Coordination & Administration
Schedule appointments, manage calendars and support daily clinical workflows
Maintain accurate records and documentation
Assist with invoicing, referrals, reports and general office tasks
Team Support & Stakeholder Liaison
Be the communication bridge between clients and clinicians
Support the Return 2 team with problem-solving and operational tasks
Assist with quality assurance and improvements to enhance client experience
Growth & Community Engagement
Help promote our services and strengthen community relationships
Contribute ideas to improve systems, service flow and overall experience
Assist with events, networking and team activities

Experience with booking systems or CRMs is an advantage

Experience in admin or customer service is preferred, but personality and values matter most.
