We provide free digital mental health support services and run a variety of mental health awareness, stigma reduction, research, and advocacy programs. We support diverse workforce segments, including those living with complex mental health issues, and the broader community. We are 100+ people with a volunteer work force of circa 60 people.
The Executive Support Officer provides high-level administrative, organisational, and confidential support to the CEO, Executive Team, Board and subcommittees. This senior role ensures the smooth operation of executive functions through effective diary and travel management, meeting coordination, minute taking, stakeholder engagement, and handling sensitive information with discretion and sound judgment.
The position also supports and facilitates projects on behalf of the CEO and contributes to strategic and business process improvements across the organisation. Acting as a key partner to the CEO, the role helps deliver core strategic objectives by managing day-to-day priorities, ensuring the CEO is well supported and able to focus on organisational goals.
Key responsibilities of this role include:
* Manage the CEO's diaries, meetings, travel and correspondence.
* Prepare agendas, minutes and follow-up actions for leadership and internal meetings.
* Draft and format documents, briefings, and reports to a high standard.
* Coordinate internal communications and assist with staff engagement activities.
* Assist with board and committee meeting logistics, including papers, schedules and minute taking (if required).
* Maintain governance registers, filing systems and compliance documentation.
* Act as a first point of contact for enquiries to the executive office.
* Liaise professionally with community partners, donors, volunteers and service providers.
* Support delivery of organisational projects, events and initiatives.
* Assist with monitoring progress of strategic and operational tasks aligned to organisational priorities.
About You
* At least three years previous experience in executive support or senior administrative roles for C-suite or similar.
* Experience in diary management, travel coordination, and minute-taking for high-level meetings.
* Strong attention to detail and follow up.
* Understanding of secretariat/minute taking or governance processes and Board operations is highly desirable.
* Discretion and Judgment: Ability to handle sensitive information with integrity.
* Organisational Skills: Strong time management and prioritisation in a fast-paced environment.
* Communication: Excellent written and verbal communication skills.
* Stakeholder Relations: Proven ability to engage effectively with diverse stakeholders.
* Technical Proficiency: Advanced skills in Microsoft Office Suite and virtual meeting platforms.
