Position Overview: The Pre-Delivery Co-ordinator is responsible for the efficient organisation, documentation, processing, and communication of vehicle tasks involved in the movement, fit-out, repair, or detailing of vehicle units prior to delivery to customers. This role will work closely with multiple departments to ensure the timely and accurate delivery of new and used vehicles to guests, while maintaining a high level of customer service and operational efficiency. Key Responsibilities: Fitment System Diary: Load all vehicles for pre-delivery (PD), including new and used vehicles, and update for anticipated back-order receipt times. Detailing Diary: Track and manage detailing, fitment, and vehicle yard tasks, ensuring all work is completed on schedule. Repairs Orders: Raise and track repair orders for vehicle detailing, VGR work, and car care services to meet daily deadlines. Purchase Orders & Sublet Logistics: Raise purchase orders for sublet services, organise logistics, and ensure vehicles are returned and inspected for quality control. Fuel Management & Vehicle Swaps: Coordinate logistics for vehicle fueling and vehicle swaps to ensure timely transport. Damaged Vehicles: Manage vehicle damage reports, organise repairs, and reconcile invoices. Invoicing: Process repair orders and ensure invoices are finalised and accounted for accurately. Archiving & Reporting: Maintain records and reporting on repair orders, open vehicle deliveries, and part back-orders. Communication: Act as a key point of contact between departments, handling urgent communications regarding delays, part procurement, and customer expectations. Workplace Health & Safety: Ensure all tasks and processes are compliant with safety standards and regulations. Environmental Consciousness: Support the company’s environmental commitment processes, ensuring compliance and continuous improvement. Skills & Qualifications Organisational Skills: Ability to manage multiple diaries and repair orders simultaneously while ensuring deadlines are met. Attention to Detail: High level of accuracy in data entry, invoicing, and task management. Communication Skills: Strong verbal and written communication skills, with the ability to coordinate across multiple teams. Technical Skills: Basic knowledge of Microsoft Word, Excel, and social media platforms. Driver's License: Valid, unrestricted driver’s license (manual transmission preferred). Teamwork: Ability to work collaboratively within a team environment while managing individual tasks autonomously. Customer Focus: A strong commitment to providing exceptional guest experiences.
