Lift Experts specialises in sourcing, advising on, and installing lift solutions for residential, commercial, and development projects. Based in Sydney, Melbourne, and Queensland, we help clients find and install the right lift systems for their needs.
As we continue to grow across New South Wales, Victoria, and Queensland, we're looking for a highly organised and proactive Project Coordinator to support our project team and help drive new business opportunities.
Role Description
This role combines project qualifying/briefing and implementation support. You'll support the Project Manager by assisting with project delivery from quoting to installation, while also helping to grow our active project base by qualifying new and existing contacts.
You'll work across multiple areas - from managing communication with suppliers and clients to assisting with sales and ensuring projects run on time, budget and quality.
1. Project Coordination & Administration
- Support the Project Manager by taking ownership of assigned projects from OEM quoting to final installation.
- Communicate project details to manufacturers and request quotes.
- Manage deal analysis preparation, ensuring accurate and timely data for internal review.
- Follow up with manufacturers to meet quoting and deal preparation deadlines.
- Participate in internal deal discussions to prepare proposals for client presentations.
- Liaise with builders, architects, and suppliers to ensure smooth decision-making and project execution.
- Coordinate logistics, shipping, and installation schedules.
- Update the CRM with all project notes, client communications, and progress milestones.
2. Sales Support & Lead Engagement
In addition to project coordination tasks, this role will also involve proactive outreach to potential and existing clients to support sales and business development.
- New Project Outreach:
- Connect and qualify warm new contacts to position Lift Experts and its services.
- Qualify project parameters (pre-sales qualifications) and book meetings for the sales team or capture initial lift requirements.
- Lead Re-engagement:
- Proactively contact older or dormant leads to reassess their interest and identify potential opportunities.
- Connect and qualify existing contacts to position Lift Experts and its services.
- Sales Collaboration:
- Work closely with the sales team to ensure handovers are smooth and opportunities are well-qualified before client engagement.
- Assist in preparing client-facing materials and documentation for sales presentations.
3. Client Communication & Stakeholder Management
- Serve as a key point of contact for clients from project initiation through to installation.
- Provide regular project updates, manage expectations, and ensure all required documentation, plans, and payments are obtained on schedule.
- Facilitate communication between internal teams, clients, and external partners.
Qualifications & Skills
- Demonstrated experience in project coordination, sales support, or business development (ideally in the lift, construction, or building services sector).
- Minimum 3-5 years of experience in project coordination, sales support, or business development is required.
- Strong communication and stakeholder management skills.
- Ability to manage multiple tasks and projects simultaneously in a fast-paced environment.
- Experience in CRM systems (High-Level CRM experience a plus).
- Highly organised with excellent attention to detail.
- Comfortable making outbound calls and engaging clients directly.
- Self-starter who thrives in a remote work environment.
- Australian work rights are required for this position.
- Experience in the construction or lift industry is preferred, though candidates from other industries will be considered.
