About the Shipping Inspections Department
Our professional inspection and superintendence services support clients across key commodity markets (agriculture, coal, etc.) by representing and protecting their interests. Our representation ensures supervision of quality and quantity during loading or discharge.
Our Marine Surveyors / Inspectors work autonomously in the field, collaborating closely with colleagues in Inspections, Laboratory, and Administration/Export documentation departments, fostering a culture of teamwork.
We are now seeking a Shipping Execution Coordinator based in Docklands, Melbourne. The successful candidate will coordinate the operations of the Inspections department, ensuring high standards of quality and integrity, delivering excellent customer service, and providing value to our clients.
About the Role
The postholder will plan and coordinate surveys and inspections, serve as the primary contact for customer support, meet with clients regularly, and report to stakeholders. The role requires experience in project coordination, customer service, and maritime shipping export documentation.

Duties and Responsibilities
Coordination, Communication, and Team Effectiveness
* Coordinate Shipping Inspections operations to meet quality and delivery standards.
* Identify and mitigate risks affecting project delivery.
* Communicate proactively and effectively with managers, staff, clients, and stakeholders.
* Lead department meetings and support peers.
* Gather data, prepare reports, and share them with clients.
* Manage contractors and ensure project standards are met.
* Support recruitment and onboarding processes.
* Foster an inclusive team culture.
* Promote cross-departmental collaboration.
* Ensure compliance with policies, procedures, and standards.
* Assist with administrative tasks such as issuing certificates and reports.
* Submit expense claims, timesheets, and reports timely.
Client Relationship Management
* Maintain stakeholder networks and act as a key contact for clients.
* Collaborate with sales and management to understand and meet client needs.
* Handle customer inquiries and resolve complaints professionally.
HSEQ
* Adhere to health and safety policies and promote their adoption.
* Work with the quality team to maintain standards and accreditations (e.g., ISO).
* Implement safety and quality measures within the department.
* Maintain internal databases and quality management systems.
About You - Experience, Skills, Traits, and Requirements
* Experience in agricultural soft commodities and industry standards.
* Knowledge of marine shipping, cargo inspection, and terminal operations in agriculture or coal industries.
* Experience with quality systems (e.g., ISO 17020).
* Proven team coordination and client relationship skills.
* Ability to identify improvements and implement operational strategies.
* Autonomous work style with consistent outcomes.
* Proficiency in Microsoft Office, especially Word and Excel.
* Effective stakeholder communication skills.
* Relevant qualifications or professional training preferred.
