Working closely with political institutions, government departments, academic organisations and civil society partners, the office operates within both Australian and European regulatory frameworks and maintains high standards of governance, compliance and brand integrity.
Position Purpose
The Office & Operations Manager is responsible for ensuring the seamless, compliant and professional operation of the Australia office.
This pivotal role oversees finance administration, procurement processes, office management, event delivery and communications coordination. You will work closely with the Director, Finance Manager and Programme Managers to ensure operational excellence across all programme activity.
The Opportunity
• Oversee finance administration aligned with international funding regulations and Australian compliance requirements
• Manage procurement processes including tenders, framework agreements and vendor assessments
• Perform reconciliations and maintain accurate financial documentation under a four-eyes principle
• Lead office operations, records management and coordination of service providers
• Coordinate national and international events, seminars and delegation visits end to end
• Manage event logistics including venues, AV, catering, accommodation and participant communications
• Maintain websites, digital communications and ensure brand compliance across all materials
• Lead the production workflow of the Annual Report and support publication outputs
This is a broad operational leadership role balancing compliance, organisation and delivery. You will move comfortably between financial processes, stakeholder engagement and on-site event coordination.
About You
• Experience in office management, operations or programme administration
• Strong financial administration skills including reconciliations and budget tracking
• Understanding of procurement, compliance and audit processes
• Proven experience delivering events from planning through to on-site execution
• Excellent written communication skills for newsletters, invitations and publications
• High attention to detail and strong organisational capability
• Confidence engaging with senior stakeholders and external partners
• The ability to manage competing priorities within a structured environment
Experience within government, political, international or not-for-profit settings will be highly regarded.
