We are looking for a part-time Receptionist / Administration Assistant to join our team.
As the first point of contact for our clients, you will play a vital role in delivering an outstanding client experience while supporting the day‐to‐day operations of the clinic.
This role is ideal for someone who is personable, highly organised, and confident managing multiple tasks in a busy environment.
Key Responsibilities Reception & Client Experience
* Greet clients in a warm, friendly and professional manner
* Manage bookings, rescheduling and follow‐ups
* Answer phone calls and respond to email enquiries
* Process payments, invoices and receipts
* Follow up outstanding payments
Administration
* Maintain accurate client records and documentation
* Coordinate communication between clients and practitioners
* Assist with general admin tasks including scanning, filing and stock management
* Support marketing initiatives including newsletters and social media scheduling
Clinic & Team Support
* Assist with maintaining a clean, organised and professional clinic environment
* Support practitioners and the Practice Manager with daily operations
* Contribute to team meetings and continuous improvement initiatives
About You
We are looking for someone who is:
* Friendly, professional and client‐focused
* Highly organised with strong attention to detail
* A confident communicator (both written and verbal)
* Able to multitask and work independently
* Reliable, punctual and well‐presented
* Comfortable working in a fast‐paced environment
Skills & Experience
* Previous experience in a receptionist or administration role (healthcare highly regarded)
* Experience handling payments and financial transactions
* Confident using computers and practice management software (e.g. Cliniko or similar)
* Ability to learn new systems quickly
* Experience with Canva or basic marketing tools (desirable)
Availability
* Part‐time position
* Availability for early morning shifts (from 8:00am)
* Availability for afternoon/evening shifts and occasional Saturdays
