Industrial Air has been a leading supplier of Heating, Ventilation, Air Conditioning & Refrigeration equipment to the industry for over 44 years. We represent leading market brands such as Panasonic, Air Change, Evapco, Danfoss, Sondex and more.
Together with our service division, Mr Goodair, we work hand in hand with consultants, contractors, dealers, installers and end users to ensure the best possible products and service.
We are currently seeking the services of a Service Administrator to be responsible for taking in calls from customers and clients, invoicing, quoting, coordinating and scheduling technicians, liaising with colleagues regarding preventative maintenance contracts, project works and sourcing parts.
Responsibilities
Organisation and scheduling of field service activities, ensuring the most efficient routing and use of resources
Responding promptly to customer enquiries & bookings
Taking calls from Service Technicians, distributing jobs via ServiceM8 and providing purchase orders in a timely and efficient manner
Communication with external customers and internal team members
Spare parts interpretation, quotations and orders
Administration of paperwork
Processing of client invoicing in a prompt and efficient manner
Use of internal systems and portals & assisting the Service Technicians in the use of relevant systems
Maintaining site inductions, WHS, licensing and insurance compliance
Supply effective support to the Service Manager and Field Service Technicians, so the service needs of both internal and external clients are met
Provision of ongoing reports requested by management in relation to field service activities, customer service history, specific productivity and customer retention
Supply support and assistance to other office staff where required
Coordinate liaison between Service Department and other business units
Provide prominent levels of customer service aligned with our brand and values
Contribute to the continuous improvement of our services, products, and performance
Qualifications
Polite & professional phone manner
Ability to multi task and work under pressure
Exceptional customer service
Integrity, reliability, flexibility and a strong work ethic
Stable work history & demonstrated experience in a similar role
Ability to work independently or as part of a team
Energetic self-starter with exceptional written and verbal communication skills and a positive attitude towards getting the job done
Experience in the use of accounting, inventory or service-based software packages (preferably ServiceM8) and/or WHS knowledge considered advantageous (full training and support will be provided)
