Job Overview:
This role is responsible for managing the provision of facilities management services in a Commonwealth-Owned Property within the designated WoAG portfolio.
The successful candidate will develop sound working relationships with key client staff and key tenant representatives located in the property, and manage the day-to-day client activities for the assigned property/facilities.
About the Role:
This position will assist the National Facilities Manager Director to deliver the full range of services to the Entity.
Key Responsibilities:
1. Partnering with the Client/Stakeholder(s):
* Proactively engage client stakeholders to ensure that on site tenant's expectations are met
* Build and develop effective client / stakeholder relationships across multiple levels of the organisation
2. Facilities Management Services:
* Management of Facilities as designated by the National Facilities Manager
* Ensure compliance with statutory regulations on fire, health and safety standards
* Recommend continuous quality improvement practices and implement Industry Best Practice operations
* Implement building procedures and performance measures and ensure they are maintained at all times
* Ensure all Critical Environment (CEM) requirements are met
* Review existing operations regularly to reduce costs and improve operational standards
* Ensure disaster recovering and business continuity plans are implemented and maintained
3. Keeping the numbers in check:
* Actively work to ensure that the site's financial operations are meeting or exceeding targets and control requirements including the JLL Code of Ethics
* Ensure financial processes are followed at all times
4. Ensuring everyone stays safe:
* This role has the responsibility and duty of care to work safely, taking reasonable care to protect their own health and safety and that of fellow workers and visitors and to comply with the requirements of the health and safety guidelines, policies and rules
* Report and escalation of WHS near miss/good catches and incidents in accordance with CMO reporting tool and escalation matrix
5. Keeping an eye on the Site & Operations:
* Recommend continuous quality improvement practices and implement Industry Best Practice operations
* 24/7 emergency call support and site attendance is required
6. Use and maintain a Property database:
* Preparedness to develop a strong understanding of the various property management database systems
* Complete, update and maintain applicable web-based management information systems, including uploading various property documentation
* Ensure all data is held accurately in our systems to allow payment in a timely manner
7. Limiting Risk to JLL & WoAG:
* Ensure the JLL Operational Risk Management (ORM) program is implemented and maintained
* Ensure escalation procedures and incident reporting procedures are implemented and maintained
* Adhere to JLL's business conduct by ensuring compliance with the firm's guidelines, procedures and strategies
About You:
A motivated self-starter with a proven track record of successfully delivering best practice and quality to their client. An engaging facilities and people manager who thrives on inspiring and developing their team.
* 3-5 years + experience in facilities, property management, or related field
* Leadership skills and ability to liaise effectively with all stakeholders to successfully deliver projects
* Has experience working in critical environments & facilities
* Knowledge of HS&E requirements
* Knowledge of vendor management for specialized services
* Has an understanding of basic technical aspects of property
* Ability to obtain and hold an AGSVA Clearance and or any additional associated Entity clearances
* Must be an Australian Citizen
* Proactive with a keen eye for detail and the ability to balance multiple priorities
* Possess a can-do attitude with proven ability to build and maintain relationships
* Strong communicator – Good presentation skills and possesses strong verbal & written communication skills
* Passion for quality – has an eye for detail to make sure the best delivery of services
* Self-motivated & Confident – able to adapt to rapidly changing situations
