The Opportunity
We are seeking a Subcontractor & Purchasing Administrator to support the accuracy, compliance and coordination of subcontractor data and purchasing activities across the business. This is a hands-on, detail-driven role that plays a critical part in ensuring subcontractors are paid accurately, purchase orders are processed correctly, and internal systems remain up to date in a time-sensitive environment. You'll work closely with Branch Managers, subcontractors, finance and suppliers — resolving discrepancies, following up outstanding items and keeping operations running smoothly behind the scenes.
Key Responsibilities
Subcontractor Administration
Validate subcontractor job data against internal systems and field reports
Investigate discrepancies and coordinate approvals for additional charges
Assist with subcontractor onboarding and documentation tracking
Maintain accurate contract, rate and compliance records
Respond to general subcontractor admin queries
Purchasing Support
Raise purchase orders in line with audit requirements
Receipt POs and match against delivery dockets and invoices
Follow up suppliers on order status and ETAs
Liaise with branches and suppliers to resolve discrepancies
Maintain accurate purchasing records and filing
Coordinate staff amenities, gifts and uniform ordering
About You
You are reliable, organised and proactive. You enjoy working with systems and structured processes, and you take pride in ensuring accuracy and follow-through.
To Succeed In This Role, You Will Bring
3–5 years' experience in administration roles, ideally within operations, purchasing, finance or construction environments
Strong attention to detail and data accuracy
Confidence communicating with subcontractors and suppliers
Excellent organisational and time management skills
Solid Microsoft Office capability (Excel highly regarded)
Experience with ERP or purchasing systems (advantageous but not essential)
You are comfortable working in a fast-paced environment, enjoy resolving discrepancies, and contribute positively to a practical, team-focused culture.
