We are seeking a motivated and professional Medical Receptionist / Practice Administrator to assist our Office Manager in implementing quality systems that ensure smooth and efficient practice operations, while delivering an exceptional standard of care to our patients at Muswellbrook Doctors, Muswellbrook Fair - Tenancy 16 & 17, 19-29 Rutherford Road Muswellbrook NSW 2333. About the Role Reporting directly to the Office Manager, this role involves close interaction with doctors, reception, and nursing staff. You will play a key part in coordinating daily operations, supporting compliance and accreditation, and ensuring a positive patient and staff experience. Key Responsibilities Operations Assist the Office Manager in coordinating daily operations across doctors, nurses, and staff. Liaise with doctors regarding operating hours, planned leave, and group practice requirements. Update Health Engine and online booking systems. Support accreditation processes and continuous improvement initiatives. Accounts & Finance Assist with accounts follow-up and outstanding payments. Coordinate monthly purchase orders. Reconcile WorkCover and private billings weekly. Monitor nurse incentive billing. Marketing Coordinate monthly marketing activities and holiday closure notices. Assist in implementing centre initiatives and promotions. Quality & Compliance Supervise front desk operations and support staff efficiency. Review and improve practice systems for quality and compliance. Ensure contractual obligations are met. Health & Safety Report hazards promptly and participate in OH&S training. Ensure staff, visitors, and contractors follow safety procedures. Investigate and address health and safety concerns. Required Qualities Patient-focused approach with empathy and professionalism. Strong interpersonal and communication skills (written and verbal). Well-presented, courteous, and confident in representing the practice. High attention to detail, accuracy, and confidentiality. Ability to work independently and within a team. Strong organisational and time management skills. Knowledge of OH&S and infection control principles. Qualifications & Experience Minimum 1 year experience in a medical receptionist/secretarial role. Accredited medical receptionist course or knowledge of medical terminology. Proficiency in MS Word, Excel, and medical software (Pracsoft, Medical Director, Best Practice). CPR/Triage training and/or emergency management experience. Knowledge of Medicare, health funds, infection control, and medical waste handling. Experience working with diverse patient groups (adolescents, aged care, migrant/refugee, Aboriginal and Torres Strait Islander communities). Strong customer service background across written, phone, and face-to-face channels. Experience in general practice is essential Job Type: Part-Time
