About the Role:
Join our dedicated Gympie team as an Administration Officer, playing a key role in supporting our Foster & Kinship Care team and our Family Intervention Service team. As an Administration Officer, your primary mission is to deliver exceptional operational and administrative support to our Service. Your role is pivotal in ensuring a welcoming, efficient reception for both our internal and external clients, visitors, and service providers.
This is a Part-Time Position working 45.6 hours a fortnight at our Gympie service. Work days: Monday, Tuesday and Wednesday.
Responsibilities:
* Provide comprehensive operational and administrative support, ensuring the smooth running of services.
* Undertake reception and telephone duties, ensuring excellent front-desk service.
* Assist with staff orientation, induction processes, mail collection, and function planning.
* Process petty cash, complete reimbursement claims, and reconcile petty cash floats.
* Handle invoice processing, create and maintain client files.
* Manage filing, auditing, and archiving of client information according to organisational guidelines.
* Process time sheets, maintain employee and volunteer credential records, and update registers.
* Copy, collate, and bind training manuals, prepare mail-outs, and assist with training preparation.
* Maintain confidentiality and adhere to Anglican's Code of Conduct and policies.
* Support the team environment positively, contributing to the effective service delivery.
Qualifications, Credentials and Other Requirements:
* Current Blue Card (or willingness to obtain)
* Current License Care Service Check (or willingness to obtain)
* Current Driver's Licence, and reliable transportation
* A Certificate IV in Business Administration or related field is highly regarded.
About You:
* You have relevant experience in administration, particularly in roles requiring high levels of discretion and customer interaction.
* You're a customer service champion, skilled in communicating with a diverse range of stakeholders.
* You are an adept multi-tasker, capable of managing multiple priorities independently or as part of a team.
* Your skills include high accuracy in data entry, accounts management, and an understanding of quality frameworks.
* Excellent communication / people skills, self-motivated attitude, enthusiastic.
