Founded on a simple yet powerful vision to redefine the standard of private emergency care, our client has evolved from a small, family-led initiative into a trusted national leader, currently operating across 9 sites.
With strong momentum for growth, they are now preparing to expand further into the NSW and VIC markets with plans for an additional 4–5 sites. They collaborate with hospitals across the country to deliver high-quality, patient-centred emergency services.
This is an exciting opportunity for an experienced and well-respected Practice Manager to join a purpose-driven organisation leading the way in private emergency medicine. This is a full-time, permanent position offering 38 hours per week, with the flexibility to work in a hybrid capacity (a mix of onsite and remote work). The role also includes a monthly Rostered Day Off (RDO), scheduled on a Friday.
Key duties and responsibilities will include (but not be limited to):
* Coordinate Doctors rosters in collaboration with Site Directors and the recruitment/workforce management team
* Support onboarding and orientation of new doctors, including credentialing, hospital access, documentation, and IT setups
* Maintain accurate and up-to-date compliance records (e.g. AHPRA registration, insurance, provider numbers)
* Organise travel and accommodation for visiting doctors as required
* Assist with the management of the VMO on-call roster
* Provide high-level administrative support to the Site Director and Deputy Site Director
* Contribute to a culture of excellence, collaboration, and continuous improvement
* Ensure timely and accurate billing for Medicare, DVA, WorkCover, and Defence services
* Oversee receipting, bank reconciliation, and debtor follow-up in a compliant and timely manner
* Record and reconcile doctors' hours and schedules accurately
* Prepare and provide regular financial reports, including KPIs, weekly updates, and end-of-month summaries
* Support initiatives to improve financial performance, including cost reduction strategies (e.g. locum and travel costs)
* Act as the first point of contact for IT
* Coordinate user access and staff training for core systems (eg; Medtech Medical Software, Core Schedule)
* Liaise with management and hospital IT teams for system upgrades and issue resolution
* Participate in quality improvement initiatives, audits, and incident management processes
* Ensure compliance with hospital accreditation standards and relevant healthcare regulations
* Coordinate WorkCover and injury management cases, focusing on efficiency and service quality
* Manage and resolve patient complaints in line with organisational and hospital procedures, promoting a culture of feedback and improvement
* Contribute to local projects and initiatives aimed at enhancing patient experience, staff engagement, and operational efficiency
* Supervise the Medical Administration Assistant, including task allocation, performance management, and professional development
* Build and maintain strong relationships with the local medical community, including GPs, specialists, ambulance services, and other health providers
* Develop local connections with employers, schools, accommodation providers, and sporting organisations
* Coordinate WorkCover and injury management services in partnership with external stakeholders
* Foster collaborative working relationships with the Clinical Director, Deputy Director, NUM, and broader hospital management team
* Liaise with Administration and other hospital teams to ensure alignment with organisational processes
* Attend hospital forums, meetings, and relevant community events
To be successful in this position, you will have the following attributes:

* A collaborative leadership style and experience working alongside clinical teams
* High levels of initiative, sound judgment, and professional discretion
* Previous experience in an Emergency Department or similar 24/7 healthcare environment, with an understanding of its pace, pressure, and multidisciplinary dynamics
* Familiarity with hospital systems, procedures, and clinical administration processes
Remuneration
A competitive annual salary between $95,000 and $120,000 + superannuation will be offered to candidates who possess the relevant skills and experience.
