Summary:
We’re looking for a proactive Executive Assistant to support our Fleet Manager and help keep our operations running smoothly. This is a hands-on, high-trust role at the heart of a proud regional company with over 400 staff.
Key Responsibilities:
•Draft and maintain company policies
•Schedule and coordinate team meetings and 1:1s with direct reports
•Take accurate meeting minutes and distribute them promptly
•Prepare and circulate monthly maintenance newsletters
•Monitor fuel card transactions and compile defect reporting stats
•Generate monthly reports for managers
•Create and manage Excel spreadsheets (data entry, analysis, dashboards, etc.)
•Be a friendly point of contact across departments and with external partners
•Manage insurance claims documentation and follow-up
•Prepare quarterly board reports
The Ideal Candidate Will Have:
•Strong Microsoft Office skills, especially Excel (formulas, pivot tables, data cleaning, and dashboard creation).
•Excellent organizational and time management skills
•Strong written and verbal communication abilities
•Experience in administrative or operations support roles
•Confidence in working independently and as part of a team
•Attention to detail with a proactive approach to problem-solving
