**OFFICE MANAGER - HAWTHORN
**About the Role:
This is an opportunity to lead the Administration team and support the reception area, driving continuous improvement initiatives with your team to ensure a high level of service is maintained. The successful candidate will be instrumental in ensuring the smooth-running of the corporate offices whilst providing a wide range of administrational support and reporting.
The Exciting Responsibilities:
* Undertake the positions responsibilities and accountabilities to align with New Aim's Mission and in accordance with New Aim's values.
* Lead and support the receptionist and manage administration functions.
* Maintain existing admin policies and procedures to drive a high level of service.
* Continuous improvement of current processes to ensure adaptability to changing business needs.
* Cost Analysis for key suppliers such as electricity and utilities and evaluating cost savings opportunities.
* Arrange and manage corporate accounts with external suppliers (vending machine, Uber, hotel chains and office supplies)
* Management of the office including all maintenance, cleaning, monitoring office outgoings, stationary supply, seating arrangements and office layout
* Prepare annual budget and prepare monthly reports on all administration cost analysis and provide explanation on variances and provide cost savings recommendations to management team.
* Develop effective, collaborative relationships and networking with all internal & external stakeholders.
* Co-ordinate and collaborate with the Warehouse Coordinator to ensure smooth and cohesive delivery of services and products that support warehouse operations.
* Taking on any reasonable tasks as directed by the direct manager
Requirements:
To be considered for this role, you will need:
* 3+ years' experience working as an Office Manager (or equivalent), leading a reception team
* Extensive administration management
* Sound understanding and experience in procurement processes
* Good understanding of budgeting and cost analysis
* MS Office
* Ability to manage and meet stakeholder's expectations by build and maintain relationships and work confidently with people at all levels
* Able to research and leverage resources in a teamwork environment; to reach an optimised solution after completing a risk analysis and decision-making process
* Confidence in presenting to senior management
