We're looking for a proactive, organised, and adaptable Senior Administration Assistant to support our accountants and play a key role in keeping our operations running smoothly.
About the Role
In this varied and hands-on position, you'll work closely with both our accounting and admin teams, ensuring our clients receive exceptional service while keeping internal processes efficient and on track. This role offers scope to make a real impact, with opportunities to contribute ideas for improvements and be part of a close-knit, supportive team.
Key Responsibilities
Office Coordination
* Order and maintain stationery and general supplies
* Organise weekly grocery orders for the office
* Keep communal spaces tidy and well-stocked
Administrative Support
* Manage incoming and outgoing mail (physical and electronic)
* Support accountants with debtor reports, data entry, and month-end tasks
* Prepare invoices and update client records
* Handle ASIC forms and liaise with the ATO for various requests
* Manage client onboarding/offboarding and document returns
* Collate client documents and work papers for accounting jobs
* Draft correspondence and respond to client queries
Team & Business Support
* Provide backup support across the admin team as required
* Assist with accounts payable and invoice follow-ups
* Coordinate client gifts and internal events as directed
* Maintain procedural documentation and assist with ad hoc projects
* Help organise tax planning, FBT, and other communications with clients
* Attend monthly admin meetings and share ideas for improvement
Reception & Client Services
* Answer calls professionally and direct them appropriately
* Keep reception and meeting rooms welcoming and presentable
* Arrange meeting room set-up and organise couriers
What We're Looking For
* 3–5 years' administration experience, ideally within accounting, legal, or professional services
* Strong organisational skills with attention to detail
* Ability to manage multiple priorities and work well under pressure
* Confident communication skills and a professional, friendly approach
* Initiative and willingness to get involved wherever needed
