The Role

A new full‑time opportunity has been created for a detail‑orientated multi‑tasker. The Data Entry Administrator is responsible for providing accurate and efficient administrative support to the Black Swan Health Disability Team.


Duties and Responsibilities of the Position

* Answer incoming phone calls on the 'Psychosocial Services' and 'Disability Services and NDIS' lines
* Respond to queries received in the Disability and Psychosocial Services email inbox, and distribute emails to the appropriate member of the Disability Team or other Black Swan Health programme
* Contact participants to inform them of late cancellations, in the event of unexpected staff absences
* Process referrals (check eligibility criteria, log referrals on the client database, and reply to the referrers). This will also involve taking self‑referrals over the phone
* Compile a monthly summary of Psychosocial Support Programme referral sources for the Engagement Officer of the Marketing Team
* Maintain and upkeep the database of services
* Take minutes at team meetings and distribute them to the team via email
* Assist the Disability and Psychosocial Services Manager with recruitment tasks as instructed – e.g. scheduling interviews and performing reference checks
* Be flexible and proactive to assist staff with other administrative tasks within your scope of work
* Other duties as required


The successful candidate will have

* Working with Children's Check
* Eligibility to work in Australia
* Previous experience in an administration or receptionist role
* Strong written and verbal communication skills, including a professional phone manner
* Treat all people with respect and dignity, and demonstrate care and compassion for people experiencing distress from severe and persistent mental health issues
* Maintain confidentiality and privacy of client and staff information
* A proactive and flexible attitude to assisting the team and taking on additional tasks when time permits
* Ability to enter data efficiently and accurately, with high attention to detail
* Well‑developed organisational skills, including prioritising and managing competing deadlines
* High‑level computer skills, including demonstrated experience with MS Office Suite
* Previous experience working in a mental health or disability setting (desirable)
