KRNH is looking for a dedicated and energetic Administrative Receptionist with excellent time management skills, who is able to deliver high quality support to the Co-ordinator, Committee of Management, tutors and participants. Our team is guided by the philosophy of Caring Through Sharing. KRNH is a welcoming neighbourhood house offering inclusive, affordable programs that foster connection, learning and well being.

ABOUT THE ROLE

The House is looking for a reliable, enthusiastic and trustworthy person to be part of the daily running of the Neighbourhood House.

Your organisational skills and eye for detail will be paramount and your passion will make the House and Community bonding strong and cohesive.

This person will be able to support the Coordinator, Tutors and participants.

No two days will ever be the same, so you will need good time management skills and the ability to show your versatility and initiative while working as a team member.

Training is available for the suitable applicant if required in specialist areas such as Social Planet or Xero.

ABOUT YOU

The successful applicant is required to display a high level of professionalism, while interacting with the internal and external community and when dealing with confidential and sensitive issues and documentation. In many instances, you will be the face of the House in multi-faceted interactions.

* Competence with computerised office systems including Microsoft Suite of Products, Xero, Social Planet, general internet and social media
* Police check and working with children's check is required
* Driver's licence is essential
* First aid level 1 is desirable

* From Time To Time, You May Be Required To Oversee Programs Or Activities At External Venues.
* Classification: Neighbourhood Houses & Adult Community Education Centres Collective Agreement 2016 –
* Schedule 3b Neighbourhood House Employees (Schads Award) – Class Level 4.1
* Hours Of Work: 26 Hours Per Week – Monday To Thursday
* Term Of Appointment: Part-time, Ongoing
* Employer: Kinglake Ranges Neighbourhood House INC
* Reporting To: Co-ordinator Of Krnh. All Staff Are Answerable To The Committee Of Management.
ABOUT KINGLAKE RANGES NEIGHBOURHOOD HOUSE INC.

KRNH is community-based organisation where people can participate in social, educational, and supportive activities for all ages. Current and ongoing services/projects include:

* Classes, workshops, and events (e.g., first aid/CPR training, art sessions, gardening courses, and more).
* Counselling and psychological support through the \"Be Well in the Ranges\" program (funded by the Victorian Government, offering free confidential services including music therapy).
* Food Share program (for those experiencing food insecurity or needing extra support).
* Community Garden.
* Managing Volunteer opportunities (e.g. Kinglake Op Shop, community garden, Foodshare etc.).
* Liaison with other community groups and community engagement events
* Co-ordination of onsite classes and Learn Local opportunities

Affiliated with Neighbourhood Houses Victoria, the House is based in Murrindindi Shire and whenever possible collaborated with other volunteer groups to support community initiatives.

Whether you are local or not, it’s a great spot for connecting with other like minded people.

KRNH is gratefully funded by the Department of Families, Fairness and Housing (DFFH). From time to time, we receive grant funding from Murrindindi Shire Council, the Federal Government through project funding and other community partners and philanthropic entities.

PURPOSE OF POSITION

The House is looking for a reliable, enthusiastic and trustworthy person to assist with the daily running of the Community House. This person will be able to support the Coordinator, Tutors and participants and must show excellence in the following tasks:

* Excellent communication and people skills. Excellent time management skills and an ability to work independently as well as part of a team.
* Competence in computer-based office systems including the Microsoft Suite of Products, Xero, Social Planet, general internet, and social media are necessary.
* Assist in creation of a monthly newsletter utilising Mail Chimp and Survey Monkey as appropriate.
* Ability to liaise and network with community groups, volunteers, and other entities as requested by the Coordinator.
* Ensure all confidential records are kept secure at all times.
* Knowledge of Occupational Health and Safety requirements.
* Maintain all tutor and volunteer records.
* Encourage feedback from participants in courses and activities.
* Maintain record keeping systems for all KRNH activities. These processes are currently being reviewed and your ability to create and integrate new methods to the older systems will be highly regarded.
* Oversee rosters for room hire, classes, seminars and general House activities
* Liaise with the volunteer organisers for both Foodshare and the Op Shop as necessary.
* Preferred skills to assist Coordinator & Committee of Management (COM) with planning, development and evaluation of programs and services including collating statistics and reporting requirements such as Grant specifications.
* Assist the Coordinator and Treasurer with acquittal of all grant monies.
* Maintain Square POS system for all incoming transactions and prepare regular bank deposits.
* Work with the House book keeper to maintain proper auditable financial records.
* Reconcile bank accounts each month.
* Accounts payable: review and verify invoices, clarify any unusual or questionable invoice items or prices, enter invoices, arrange payment and send remittance. Monitor accounts to ensure payments are up to date and managed appropriately.
* Accounts receivable: generate invoices and account statements, perform account reconciliations, follow up and request payment, maintain accounts receivable files and records
* Assist with maintaining office supplies and ensure regular servicing of equipment.
* Monitor and ensure general maintenance of facilities are scheduled and completed.
* Ensure required furniture and equipment is available and set up for tutors, groups and rooms hirers.
* Set up catering (tea/coffee/food) for special meetings as required.
* Maintain the reception and general office areas/kitchen/ immediate entrance exterior and other facilities in clean condition on a regular basis.
* Working with Children’s Check, Police check and Drivers Licence a must
* Refer any complaints or grievances directly to the Coordinator and COM in line with guidelines in KRNH Procedures Manual.
* Review after 6 months probationary period.

To summarise your major skills will be that you are “a people person” with the ability to handle a variety of tasks (which will no doubt vary from day to day) and to be completely discrete and confidential.
