Project Administrator

A successful candidate will have 2+ years of experience as a Contract Administrator, strong negotiation and leadership skills, excellent written and verbal communication skills, ability to build and sustain relationships, problem-solving and multitasking capabilities, ability to work independently and take initiative, and proficiency with Construction Management software.

About this role:
Key Responsibilities
1. Review and understand administration requirements of Head Contract, including key dates, variation processes, delay costs, and handover requirements.
2. Set up and manage notice templates for variations, delay notifications, and extensions of time.
3. Administer all Head Contract obligations to protect company's time and financial interests.
4. Build and maintain positive relationships with clients, superintendents, and quantity surveyors.
5. Oversee subcontractor and consultant procurement, including tendering, scope of work preparation, and reviewing subcontractor quotations.
6. Prepare trade recommendations, negotiate, and close out subcontractor/consultant agreements.
7. Review and manage subcontractor/consultant payment certifications, variations, delay claims, and performance.
8. Prepare and update reports, including monthly project cost reports, client reports, risk assessments, and forecasts.
9. Participate in project meetings – weekly team, procurement, design, client, and cost reporting meetings.
10. Oversee project handover documentation, warranties, and manage supplier orders and invoices.
