Strategic Business Partner | C-Suite Executive Assistant
This role offers a diverse and high-trust environment, balancing bookkeeping, admin, and coordination responsibilities. As an Office Manager / Bookkeeper, you will provide crucial support to our General Manager and wider operations team.
Key Responsibilities:
1. Bookkeeping & Financial Admin:
* Daily Xero-based bookkeeping: invoices, supplier bills, reconciliations
* Maintain our CBA Stream facility and supplier portals (e.g. Hanson, Hymix, EziBiz, Boral, Q-Crete)
* Manage client payments through Stripe and Pinch
* Reconcile receipts and update shared invoice sheets
* Process Ariba invoices and credit card transactions
2. Debtors & Credit Management:
* Chase overdue accounts via phone/email
* Approve and manage credit applications using Creditor Watch
* Maintain alignment across Xero, Pinch, and BidCrete systems
* Monitor debtor insurance limits in consultation with GM
3. IT & Systems Support:
* Liaise with Outsource2Us and BoostIT for IT and hosting issues
* Oversee internal tech tools: Microsoft 365, Teams, Google Workspace
* Maintain WebEx soft phone system and client contact database
4. Supplier Claims & Insurance:
* Register and submit supplier claims with full documentation
* Manage WorkCover and vehicle insurance renewals
5. Staff & Roster Coordination:
* Coordinate rosters with the GM and approve annual leave
* Assist in managing call centre operations and team support
Requirements:
* Proven experience in bookkeeping, ideally in Xero
* A Certificate IV or higher in Bookkeeping, Accounting, or Business Admin
* Excellent attention to detail and communication skills
* Construction industry experience is highly regarded
* Tech-confident, with experience in Microsoft Office + Google tools
* Ability to work independently and collaboratively in a fast-moving environment
