Purchasing Officer Job Description

We are seeking a highly skilled Purchasing Officer to join our team. The successful candidate will be responsible for preparing and processing purchase orders, maintaining accurate records of POs and invoices, and tracking shipments.

Key Responsibilities:

* Prepare Purchase Orders: Prepare and process purchase orders in accordance with approval processes.
* Maintain Accurate Records: Maintain an accurate record of POs, invoices, test certificates, bills of lading, and any other relevant information/documents pertaining to inbound deliveries.
* Track Shipments: Track shipments and ensure timely delivery, escalating issues as necessary.
* Liaise with Warehouse Teams: Liaise with warehouse teams to manage the receipting of inbound deliveries.
* Address Discrepancies: Address and resolve invoice vs. PO discrepancies in a timely manner.
* Generate Backorder Reports: Generate, maintain, and distribute backorder reports to corresponding suppliers.
* Monitor Backorders: Monitor products on backorder and follow up on outstanding items.
* Provide Regular Reports: Provide regular reports to Internal Partners on supplier delivery status and key procurement metrics.
* Identify Trends: Identify trends or issues in backorder patterns and recommend corrective actions.
* Ensure Accuracy: Ensure purchasing and shipping records are accurately maintained and easily accessible.

Requirements:

* Proven Experience: Proven experience in purchasing, logistics and/or supply chain.
* Familiarity with Shipping Processes: Familiarity with shipping processes and related documentation.
* Knowledge of Purchase Order Systems: Knowledge of purchase order systems and supplier management.
* Proficiency in Excel: Strong proficiency in excel and exposure to ERP systems.
* Excellent Organizational Skills: Excellent organizational and multitasking skills.
* Strong Attention to Detail: Strong attention to detail and problem solving abilities.
* Effective Communication: Ability to communicate effectively with internal and external partners, customer focused.
