Primary objective
To provide high-level administrative and Secretariat support to the Office of the Chief Executive and the Minister for
Education and Training by managing the flow of correspondence, documentation, and competing priorities in a fast-paced
environment.
Context statement
Secretariat provides coordination, support, quality assurance, and professional learning to ensure effective communication
between the department and the Minister for Education's office, Cabinet office, other agencies, and ministerial councils. The
small, busy unit has a strong customer service focus, manages competing deadlines, and staff may be required to vary work
hours.
Key duties and responsibilities
1. Record, process and oversee the timely progress of correspondence received from the Office of the Chief Executive and
between the Minster for Education and Training's office and the department.
2. Prepare and distribute regular correspondence reports to monitor the progress of, and manage the timeframes associated
with, correspondence and other documents along with any other ad hoc reports as required for senior staff.
3. Assist with quality-assuring briefings and other documents checking grammar, spelling, adherence to appropriate
standards and formatting requirements.
4. Assist with administrative support for the team, including electronic records management functions, logging IT requests
and being the first point of contact for general inquiries.
5. Contribute to periodic reviews of Secretariat manuals, guides and other information.
Selection criteria
Essential
1. Demonstrated effective organisational skills, initiative, and the ability to work with minimal supervision and under
pressure.
2. Demonstrated organisational and administrative skills, with the ability to meet deadlines within tight timeframes,
provide attention to detail, and ability to deal appropriately with confidential and sensitive issues and documents.
3. Proficient in the use of electronic document records management systems to manage information workflow and storage.
4. Demonstrated high-level interpersonal skills, with the ability to work effectively within and across teams, and collaborate
with individuals from diverse cultures and varying personalities.
5. Demonstrated ability to work independently with minimal supervision, taking initiative to manage tasks, prioritise
workloads, and assist in problem solving efficiently.
Desirable
1. Knowledge or previous experience managing high level executive or ministerial correspondence and executive
government requirements, processes and procedures.
