This involves producing, managing, and curating hundreds of inspiring, creative, and forward-thinking sessions, attracting the brightest minds in the world.A vital role within the Conference Programming team, the Program Producer supports the vision and execution of the overall SXSW Sydney conference program, including its format and strategy.
This involves producing, managing, and curating hundreds of inspiring, creative, and forward-thinking sessions, attracting the brightest minds in the world.Working closely with the Head of Conference Programming and other team members, a crucial aspect of your role as Program Producer is to help manage and deliver select conference tracks, as well as specific elements of the conference program.
Your efforts will ensure a full program of brilliant talks, workshops, panels, and networking events.RequirementsWhat does a day in the life look like?Support the Head of Conference Programming in all aspects of the program, developing innovative multi-day programming and managing, curating and delivering a diverse program of talks, formats, and eventsAct as a track lead across multiple conference topics, responsible for the curation, communications and management of all sessions within your tracks, including leading the delivery of sessions via Session SelectSupport the speaker selection process, including pitching and researching speakers, curating sessions, and shaping conference submissionsBuild a comprehensive database of potential speakers, including existing and new contactsConduct outreach to speakers, agents, and other networks to secure speakers, as well as research topics, speakers, and themesAssist with communications to speakers and their representatives, as well as drafting and maintaining speaker documentation and processesLiaise with industry and academic advisors to develop a comprehensive program of sessionsContribute to the overall conference format and program strategy, supporting the onboarding and communications of track evaluators, advisors, and speakersBuild meeting agendas, take meeting notes, schedule meetings, update marketing copy, and handle other ad hoc tasksCoordinate the participation of internal and external stakeholders, such as partners, community organisations, VIPs, and venuesProvide conference programming support to the Senior Leadership Team if requiredWork with various applications including Awards Force, LoadIn, Monday, Fillout, OneDrive, Microsoft Teams, and OutlookPrepare programming department reports and presentationsProduce or brief speakers and moderators to shape the conversationHold calls with speakers and their representatives, ensuring follow-throughSchedule speaker sessions in a timely manner, adjusting schedules as conflicts ariseMake decisions within specific time restraints in a high-pressure environment and be proactiveHelp collect, create, or co-create speaker assets and other adjunct material across the conference, with a particular focus on marketing timelines, copy, and deliverablesServe as the primary contact overseeing all aspects of conference programming and management of speakers and sessions in your conference tracksSupport the Head of Conference Programming and Partners in the curation of sessions and help build partner programming in your tracksSupport various aspects of the SXSW Sydney event that directly and indirectly contribute to the program and other requirements that may arise in the building of this powerful eventAbout YouEssential Skills and ExperienceProven experience in content curation, programming and producing high impact content such as panels and talks at conferences and events or in related fields such as Media or Journalism (Radio/ TV/Podcasting), communications, marketing, creative or tech industriesExcellent written, verbal communication and research skillsAbility to curate and drive sessions across multiple themes such as business, leadership, tech, innovation, marketing, media, advertising, sustainability, design, science etcProven experience curating multiple formats such as panels, talks, workshops, networking & professional development contentHigh level of knowledge, interest and ability to digest and research industry trends in order to curate or coordinate forward thinking sessions for conference delegatesProven experience in managing diverse stakeholder relationships and expectationsStrong organisational skills with ability to manage multiple priorities simultaneouslyDemonstrated ability to work under pressure and meet tight deadlinesStrong attention to detail and follow-through capabilitiesDesirable Skills And ExperienceExperience with multi-day, multi-track conference programmingEstablished network of industry contacts and speakersExperience in briefing and coaching speakers/moderatorsKnowledge of SXSW Sydney and SXSW format or similar large-scale conference eventsExperience working with high-profile speakers and their representativesBackground in content curation across diverse themes/topicsExperience in a fast-paced creative, media or related industry environmentExcellent problem solving and analytic skillsSelf-starter, takes initiative and prioritises effectivelyComfortable driving action when there is ambiguityAbility to work quickly and accurately.
