We're looking for a bright, bubbly, and enthusiastic personality to join us at reception performing administrative duties. You'll be the first point of contact for visitors, staff, and callers, so your energy and professionalism will set the tone for every interaction. This is a fast-paced, all-rounder role that requires multitasking across departments, especially working closely with Services Manager, Managing Director, Rostering Manager, and HR Administrator. If you're a confident communicator, love keeping things organised, and enjoy being at the heart of a team, this is the role for you.
Key Responsibilities
* Answer and direct phone calls to the right department.
* Greet visitors and staff professionally
* Manage visitor and vehicle logbooks
* Conduct visual vehicle inspections
* Reconcile fuel receipts and report discrepancies
* Maintain office supplies, cleanliness, and report maintenance needs
* Coordinate internal communications and meeting room bookings
* Run general errands including post office and supply pickups
* Support HR with compliance documentation and personnel folder updates
* Assist with staff training enrolments and Learning Management System coordination
* Help create and post job advertisements on social media platforms
* Monitor emails and forward enquiries to HR or management as necessary
* Create engaging and informative posts relevant to the industry and company services.
* Schedule and publish content weekly on Facebook, Instagram, and LinkedIn.
* Monitor engagement and respond to comments or inquiries in a timely manner.
* Maintain a content calendar to ensure consistent and strategic posting.
* Maintain records of vehicle maintenance, servicing schedules, and repairs.
* Manage vehicle keys and ensure secure storage and tracking.
* Maintain accurate records of property maintenance requests and completed work.
* Track and manage property keys, ensuring proper handover and security.
Eligibility Criteria:
* Relevant Qualifications or previous experience as an Admin is advantageous
* A vibrant, people first personality
* Strong multitasking and organizational skills
* Excellent written and verbal communication skills to interact effectively with employees at all levels.
* Confidence working across departments
* Must have strong knowledge of using Microsoft Office.
* Tech-savvy with basic admin systems
* A proactive, can-do attitude
* Someone who thrives in a team and brings joy to the workplace
* Must have clear and fluent English communication skills (spoken and written).
